Business Analyst, Content Management Platform
THE PMO SquadOur client, a national commercial construction and development firm, is undertaking a multi-year initiative to replace its legacy shared-drive environment with a governed cloud content platform - bringing role-based permissions, records retention, legal hold, and defensible archiving to decades of project, legal, finance, and marketing content. Microsoft SharePoint will serve as the interim platform while a vendor-neutral evaluation selects the long-term solution. This role is remote-based but requires you to live near one of our client's office locations, with occasional travel expected. You'll own the discovery, formalization, and delivery of requirements, business rules, and governance criteria - turning input from a wide range of stakeholder groups into a baselined, traceable requirements package, leading a platform evaluation, and converting the selected solution into the delivery plan that follows. You'll work alongside a Technical Project Manager who leads the program and a solutions team from the client's business technology group. Key Responsibilities Facilitate requirements workshops and validation sessions across stakeholder groups, capturing decisions and open questions Consolidate findings into a single, traceable requirements package covering collaboration, records management, permissions, integrations, archive search, and migration Surface and document business rules, policies, and governance requirements that are currently undocumented or inconsistently applied Document current-state content taxonomy and usage patterns; define archive use cases and access models across business functions Build the evaluation framework and scoring model for a vendor-neutral platform assessment, weighted by stakeholder priority and compliance need Prepare RFI/RFP materials, coordinate vendor demos and proof-of-concept scenarios, and score responses against baselined requirements Produce selection recommendations and supporting analysis for steering committee and executive review Partner with Legal and Risk to translate retention, legal hold, and governance needs into documented, approved requirements Validate role-based access, permission principles, and folder/metadata structure ahead of migration Convert the selected platform and requirements into a delivery plan and migration sequencing, maintaining traceability through implementation Produce user-facing enablement material (guidance, FAQs) and contribute requirements, decisions, and risks to program status reporting Required Qualifications 5+ years of business analysis experience on enterprise technology programs, including at least one platform selection or RFP led end-to-end from requirements through recommendation Demonstrated ability to synthesize stakeholder interviews and workshops into a baselined, traceable requirements package Working knowledge of Microsoft 365 and SharePoint governance, including permissions, retention, and records management Familiarity with enterprise content management concepts: taxonomy/metadata design, retention and legal hold, archive and search, content migration Experience translating legal, risk, or compliance policy needs into system requirements Strong written and verbal communication skills, with experience facilitating workshops and presenting findings to senior leadership Proficiency with requirements management and analysis tools, including Excel-based scoring models and traceability matrices Nice-to-Have Qualifications CBAP or PMI-PBA certification Experience in construction, engineering, or another project-based industry with distributed teams Prior involvement in a shared drive/file server replacement, SharePoint migration, or document management platform implementation Familiarity with Microsoft Purview, SharePoint migration tooling, and Autodesk Construction Cloud Experience supporting organizational change management for a technology rollout Experience with structured program governance - stage gates, steering committees, monthly status reporting Tools & Environment Microsoft 365 / SharePoint (governance, permissions, retention) Excel-based scoring models and traceability matrices Microsoft Purview, SharePoint migration tooling (a plus) Autodesk Construction Cloud (a plus) Ideal Candidate Profile You're comfortable operating in ambiguity, applying sound analytical judgment to frame decisions and surface trade-offs rather than dictate outcomes. You know how to right-size your analysis to the decision at hand instead of defaulting to heavy process, and you're willing to surface an uncomfortable finding or gap even when it introduces friction. You build trust through neutral, skilled facilitation across technical and business stakeholders - from project teams to legal and risk - and you keep a wide group aligned on what the platform needs to do without needing formal authority over them. This position will require a pre-employment background check and drug test to be administered by the clients preferred partners.
