Role purpose
Provide the analysis and documentation that turn an AI opportunity in a JLL REMS business line into a designed solution the business can adopt. The Business Analyst completes discovery and process mapping with business line teams, builds the data analysis baseline for each opportunity, and prepares the requirements, assumption logs and plan inputs used to produce an approved and costed solution design. The role works inside the Rewire Office delivery team alongside AI agents and checks their output.
Key responsibilities:
- Run discovery with business line teams through interviews, workshops and observation of live work, documenting how work is done today, who does it, and where cost and effort sit
- Map current state and target state processes to the Rewire Office standard, recording volumes, handoffs, systems, exceptions and cycle times
- Build the quantitative baseline for each opportunity from time, volume and cost data, and keep a log of the assumptions behind every figure so the Strategy and Design Lead can test them with finance and the business line
- Support the benefit case by preparing model inputs, running sensitivity checks and maintaining the evidence trail behind each saving
- Write business requirements, user stories and acceptance criteria for the Automation and AI pillar to build against, and answer design questions as the build progresses
- Prepare inputs to the implementation plan, covering process changes, role changes, dependencies, and the decisions the business needs to make and when
- Support user acceptance testing and rollout with transformation team PMO and project management resource, and capture adoption and usage data after go live so benefits can be traced in the numbers
- Use AI agents in your own working method for transcription, synthesis, analysis and documentation, and check their output against source material before it reaches the business
- Keep documentation to one standard across business analyst and process mapping colleagues, internal or vendor supplied, and support their application
- Contribute to reusable templates, process libraries and design patterns for the Rewire Office
- Raise risks, scope changes and data gaps with the Strategy and Design Lead early, with a recommended way forward
Success measures:
- Discovery documentation and process maps accepted by the Strategy and Design Lead and the business line without rework
- Baselines and assumption logs that hold when tested by finance and the business line
- Requirements accepted by the Automation and AI pillar as ready to build against
- Adoption and usage data captured after go live, supporting benefit tracking with finance
- AI agent output verified before it leaves the team
- Templates and process maps reused on later opportunities
Experience and skills:
Essential
- 5 or more years in business analysis, process improvement, operations consulting or transformation delivery
- Process mapping and current state documentation to a recognised notation or agreed standard
- Requirements elicitation and writing, including interviews, workshops, user stories and acceptance criteria
- Quantitative analysis, with Excel to a high standard and the ability to build a baseline from raw volume, time and cost data and show the working
- Ability to run discovery conversations with experienced operational staff and establish how work is actually done
- Fast and agile ways of working, comfortable operating with incomplete information and iterating to an outcome
- Practical understanding of what AI and automation can do and where they fall short
- Ability to work with AI agents and incorporate them into delivery, including checking their output
- Sets own priorities and timelines with minimal guidance, presents finished work for sign off, and escalates issues early
- Fluent written and spoken English for daily work with colleagues and stakeholders across time zones
Preferred
- Consulting, strategy or transformation practice background
- Power BI or a comparable tool for data analysis and visualisation
- Offshoring, shared service or platforming experience
- Real estate services, facilities management or comparable global services experience
- Exposure to automation or AI delivery, including writing requirements for workflow automation, agents or data products
Positioning
This role sits inside the delivery team of JLL’s AI transformation office, with direct exposure to business line leadership and to the design work that decides how the firm applies AI to its own delivery. It suits an analyst who wants to see their documentation and requirements become solutions running in the business, and who wants to build a working method alongside AI agents.
