Position Summary

The Business Development Coordinator keeps our Business Development function running. This role frees the VP of Business Development to focus on what she does best—building vendor relationships, negotiating partnerships, and driving the strategic conversations that grow our company—by taking coordination, communication, and follow-through off her plate.

The work spans vendor relationships, committee support, and the day-to-day communication that keeps a fast-moving function on track. It’s owning meeting agendas and making sure every action item gets completed. It’s drafting correspondence to vendors and members on the VP's behalf. It’s maintaining the outreach trackers that show who owes whom what, and by when. It’s making sure monthly vendor communications go out on schedule, committee follow-up gets done, and nothing gets lost in the shuffle when ten things are happening at once.

The VP of Business Development runs a fast-paced function with many moving pieces and executive-level relationships across the vendor community. This role needs someone who can keep pace, anticipate what’s needed before being asked, and hold the line on details when everything is moving quickly. It also means treating every touchpoint — a meeting invitation, a survey reminder, a follow-up email — as something worth doing well because it reflects our company in front of the industry’s most important vendor partners.

Servant leadership at this level is not soft. Vendors are watching whether our company operates cleanly. Committee members are watching whether we respect their time. The VP is relying on the Coordinator to catch what she can’t catch herself. This role holds the line on the details that make the whole function credible, with the kind of quiet reliability that earns trust over time.


Key Responsibilities


Meeting Management and Follow-Through

Own the meeting rhythm for the VP of Business Development. Create agendas for weekly meetings. Capture action items and make sure they get completed on time, chasing down what needs chasing. Handle follow-up from committee meetings, including recaps and next steps. Be the person who ensures nothing falls through the cracks when the VP moves from one meeting to the next.


Vendor and Member Communication

Draft and send correspondence to vendors and members on the VP's behalf. Prepare meeting invitations, reminders, recaps, and follow-up emails. Send the monthly vendor communication including the member roster and member survey. Ensure every outgoing communication reflects ProSource’s professionalism and the VP’s voice.


Outreach Tracking and Data Discipline

Maintain outreach trackers for vendor and member communications — noting status, next steps, and owners. Keep contact records current and accurate in Salesforce. Build the discipline that turns a fast-moving function into one the VP can actually see and manage.


Committee Support

Support the committees the VP participates in or leads with materials, communication, and follow-up. Coordinate with committee chairs and members to ensure meetings run smoothly and commitments are delivered. Assist with small-group logistics related to vendor participation.


Presentation and Briefing Support

Help prepare presentations, briefing documents, and reports for the VP’s vendor meetings, member conversations, and internal reviews. Turn scattered inputs into clean, professional deliverables that reflect well on the VP and on the company.


Cross-Functional Coordination

Coordinate with internal teams — sales, merchandising, operations, marketing, and events — to keep information consistent across departments and to make sure business development activities align with the broader organization. Be a reliable point of contact for anyone across our team who needs to work with the VP of Business Development’s function.


Standards and Conduct

Represent our company the way we want to be represented in every vendor, member, and teammate interaction: professional, responsive, detail-oriented, and genuinely committed to the work landing well. Handle confidential business and financial information with the discretion the role requires. Model the behavior that earns ProSource its reputation as a well-run organization.


Qualifications

Some prior professional experience preferred, particularly in executive support, business development coordination, sales operations, or a comparable detail-oriented role. Clear, professional written communication with excellent spelling, grammar, and proofreading ability. Comfort communicating by email and verbally with CEOs and business leaders — many of the vendor contacts this role supports are senior executives at some of the industry’s largest brands. Exceptional organizational skills and follow-through — the kind of person who never lets a task slip and takes pride in managing many open items simultaneously without dropping anything. A genuine service orientation and teamwork mindset; someone who finds satisfaction in supporting a hard-charging executive and making the whole function run better. Discretion and professionalism with confidential business and financial information. Experience with Salesforce required. Proficient in the Microsoft suite including Outlook, Teams, Word, Excel, and PowerPoint. Comfort learning new software as our tools evolve. Willingness to work from home reliably and professionally, with Denver or Philadelphia preferred to allow for occasional in-person collaboration.


What Success Looks Like

First few months: Every meeting the VP attends has an agenda and documented follow-up, and follow-up gets done. Vendors and members receive timely, accurate responses. Monthly vendor communications go out on schedule. The VP describes this role as freeing up strategic capacity previously consumed by coordination.

Over time: A reputation across the team and the vendor community as the person who makes the Business Development function run cleanly. Continued responsibility as the VP trusts this role with more independent ownership of specific workstreams. A steady, dependable presence that becomes indispensable to how we build vendor partnerships.

This is a remote position.

Compensation: $45,000.00 - $60,000.00 per year
