Who we are looking for We are looking for a Business Operations Associate to keep our internal operations moving: contracts and compliance, hiring and onboarding logistics, event support, and the day-to-day systems that keep a growing firm organized. The defining expectation of this role is to help sweat the details. This can be tracking down missing information, chasing the signature, flagging discrepancies, and drafting any next-step documents to make sure everything crosses the finish line. This is a no-task-too-small, no-task-too-big role. One hour you may be turning around a contract amendment, and the next you may be helping shape how we run a national convening. Opportunity This person must demonstrate the ability to: Prepare and route contracts, subcontracts, statements of work, and amendments for review and signature, and keep the contracts repository current on key dates, renewals, and deliverable deadlines Track state registrations, certifications, insurance renewals, and vendor onboarding requirements, and surface what is coming due before it becomes urgent Assemble proposal and RFP submissions, including required forms, attachments, and compliance checklists Run the logistics of the hiring cycle, including interview scheduling, candidate communications, applicant records, and onboarding and offboarding steps Coordinate logistics for convenings, cohort sessions, team retreats, and client meetings, including venue research, room blocks, catering, materials, and on-site support Maintain project trackers and internal dashboards, and follow through on action items across teams without needing reminders Draft and format decks, memos, spreadsheets, and other materials to a client-ready standard Use AI tools to work efficiently and to strengthen recurring operational processes over time Take on special projects in direct partnership with leadership as organizational priorities shift Job Type We are currently seeking individuals who are interested in full-time opportunities. Location and Travel We are a virtual organization, and this is a remote position. Travel will be required several times per year for team retreats, client convenings, and cohort events. About You The requirements for this position are: Bachelor's degree and/or 3 to 5 years of experience in operations, business administration, or project coordination A track record of bringing work forward in a finished state, rather than asking what to do next Outstanding organizational skills with an exceptional attention to detail, particularly in documents, dates, and numbers A go-getter mindset, with the initiative to identify what needs to happen and move on it without waiting to be asked Willingness to hold oneself personally accountable for results in a rapidly changing context Comfort working in a fast-paced, dynamic environment with the ability to prioritize and manage time across competing demands to meet critical deadlines Strong written communication skills and the ability to produce clean first drafts Ability to handle confidential personnel, client, and organizational information with discretion Regular use of AI tools to work faster and produce stronger drafts, with sound judgment about when output requires verification Proficiency in PowerPoint and Excel, and experience using the Google Suite Experience with contract administration, compliance tracking, or vendor coordination preferred Familiarity with the K-12 education landscape preferred Compensation The salary for this position is competitive and depends on prior experience.
