About Hadrian

Hadrian is a nonprofit dedicated to ensuring that civilization can withstand and recover from severe biological crises, including AI-enabled pandemics.

Hadrian models severe biological crisis scenarios and then delivers the capabilities needed to withstand them, including crisis preparedness and response infrastructure, and highly effective protective equipment, centered on respiratory protection.

Hadrian defends all the systems civilization depends on, serving every level of society, including states, industries, organizations, and individuals.

Hadrian is rapidly building the organization required to deliver this strategy. It has assembled a highly experienced team, is supported by leading experts and a strong ecosystem of partners, has secured substantial funding, and is finalizing the build-out of a cutting-edge R&D facility.

If you want to help solve one of humanity’s greatest problems, work alongside capable and committed colleagues, and grow quickly, Hadrian may be right for you.

About Your Team and Role

Our Operations function provides the support structure for the organization, spanning finance, accounting, legal, IT, AI, and general business operations. These teams manage our resources, systems, and compliance so the rest of the organization can move quickly and responsibly.

In this role, you will integrate with almost every function at Hadrian, owning cross-functional business operations, including oversight of our procure-to-pay process end to end, from approvals through delivery. Alongside these day-to-day execution activities, you will be responsible for maintaining and improving the business systems and processes over time.

You will also manage cross-functional projects that fall outside of our specific functional areas, like product development and warehouse operations. These projects may include standing up new systems, policy rollouts, vendor evaluations and renewals, or others that span across the organization. This role is intentionally broad, given that you will need to flex between different areas of the organization as needs change and the organization scales.

What You Will Own

Purchasing and vendor operations

  • You will own purchasing execution end to end, including sourcing quotes when needed, preparing purchase orders, routing approvals, tracking performance, and confirming payment for services and goods delivered.
  • You will close the loop on receipts, invoices, and confirmations, following up with vendors and colleagues until documentation is complete, so that our records reconcile.
  • You will document how our recurring processes actually work, then simplify them, replacing informal habits with procedures any new colleague can follow.

Cross-functional tracking and projects

  • You will coordinate with the wider functional teams to integrate high-level milestones and constraints into the organization-wide plan without duplicating the program management and operating activities at the functional level.
  • You will maintain the cross-functional tracking system that gives leadership one reliable view of commitments, priorities, owners, dependencies and dates. You will track information across the organization, and you will surface slippage early enough for mitigation activities.
  • You will drive projects that have no natural owner, taking them from a decision made to a finished result with relevant documentation throughout.

Leadership and administrative support

  • You will enhance leadership’s bandwidth by providing operational and administrative support.
  • You will provide operations support to our finance team where needed, including expense coding, gathering supporting documentation for the monthly close, and keeping records audit ready.

Who You Are

Must have

  • You have prior experience in purchasing operations, maintaining accuracy with numbers, orders, invoices, and documentation.
  • You design, refine, and drive adoption of efficient, repeatable operational processes.
  • You quickly learn, configure, and set up new business tools and data systems.
  • You manage multiple concurrent workstreams effectively, including clearly tracking status, timeline, and decisions needed.
  • You drive tasks to completion independently through persistent, professional follow-up with internal and external stakeholders.
  • You collaborate well across technical, operational, and administrative teams to translate priorities into clear actions
  • You navigate ambiguity with sound judgment, resolving issues independently and escalating clearly or changing course when appropriate.
  • You handle confidential information with discretion.
  • You demonstrate Hadrian’s values, described on the Careers page of our website.

Nice to have

  • You have supported an organization through a period of rapid build-out, where processes had to be created rather than inherited.
  • You have handled procurement of scientific, laboratory, or manufacturing goods, and understand the related vendor landscape and lead times.
  • You have worked alongside hardware development, manufacturing, or supply chain teams.
  • You have worked in a nonprofit or other mission driven organization.

We assess candidates on demonstrated capability, not on whether they check every box. If you meet most of what we've described and believe you could do this work, we encourage you to apply, even if your background doesn't match the list exactly. Strong candidates often underestimate their fit, and we would rather hear from you than have you rule yourself out.

Your Salary and Benefits

The expected base salary range for this position is $110,000 to $150,000 per year. Actual base pay will be determined based on factors such as relevant experience, education, skills, and geographic location.

In addition to base pay, this role is eligible for a comprehensive benefits package including medical, dental, and vision insurance, a 401(k) plan with company match and flexible PTO.
