Buying Process Coordinator Your role in the JoJo story… Location : London, Hybrid Reporting to : Buyer/Head of Buying We are seeking a highly organised and detail-oriented Buying Process Coordinator to support the optimisation of operational processes across our growing retail business. You will play a key role in documenting and improving business workflows to enhance efficiency, support digital transformation initiatives, and ensure seamless coordination of new product launches across JoJo’s Ecommerce platform and our partnership with the NEXT Total Platform. This cross-functional role involves working with internal teams (e.g. Buying, Merchandising, Sustainable & Ethical Ecommerce, Supply Chain, Data) as well as external platform partners to keep our operational engine running smoothly. A peek into your daily adventures: Process Documentation & Mapping · Map and maintain business processes using tools such as Visio . · Identify inefficiencies, bottlenecks, or gaps and propose improvements. · Maintain up-to-date process documentation as a single source of truth. · Facilitate training sessions and lead small focus groups to develop, refine, and embed effective processes across internal teams. Product Launch Coordination · Own and manage the workflow processes for launching new product lines on the web. · Work closely with the JoJo Ecommerce Team and the NEXT Total Platform Team to ensure product data, imagery, copy, and categorisation are complete and on time. · Identify and propose opportunities to improve efficiency within the product launch process, helping to streamline workflows and reduce delays. · Monitor key launch milestones, escalate risks to your manager, and support go-live readiness. Process Improvement · Support departments to identify and implement workflow enhancements or automation opportunities, and flag when Capita resources could be utilised to help alleviate workload or improve delivery. · Track and report improvements aimed at reducing manual effort or errors; suggest effective methods for monitoring progress (e.g. dashboards, KPIs, audit logs) and recommend clear, tailored ways to present findings internally and externally, depending on audience needs. · Contribute to business transformation and digital process initiatives, while actively monitoring emerging software and systems that could support future operational efficiency or scalability. Change Coordination · Support the rollout of new processes or systems, ensuring stakeholders are engaged and trained appropriately. · Provide clear documentation and change communication. Data Analysis & Reporting · Collect and analyse operational data to evaluate process effectiveness. · Tracking key performance indicators (KPIs) such as graphics sample logs, item go-live accuracy on the website, consistency of NEXT’s meeting there SLAs, along-side sustainability and ethical compliance metrics as set by standards including FSC, BCI, GOTS, etc. · Support decision-making with clear reporting and insight. · Participate in new reporting focus groups, ensuring teams have access to the right information to verify that business processes are being completed efficiently and accurately. Project Support · Assist in project planning, scheduling, and logistics for process improvement and system implementation projects, such as Origin and Archean. · Ensure milestones are met and tasks are tracked to completion. · Identify potential business opportunities to reduce issues, streamline bottlenecks, or ease operational challenges, and support the creation of clear, structured business case proposals to present solutions and their expected impact. Stakeholder Communication · Serve as a link between head office teams, Ecommerce, IT, and third-party platforms like NEXT. · Gather and communicate business requirements clearly and effectively. Compliance & Governance · Ensure documented processes adhere to internal standards and relevant regulations set out by auditors. Skills that make you shine: · Experience in a process coordination, business analysis, or operations support role (ideally in a multi-channel retailer). · Understanding of retail operations, especially product lifecycle and sustainable audit practices. · Strong organisational skills with the ability to manage multiple priorities and deadlines. · Familiarity with process mapping tools (Visio and Miro). · Proficient in Microsoft Excel, PowerPoint, and data entry tools. · Clear and confident verbal, written, and visual communicator. · Analytical mindset and excellent attention to detail. · Comfortable working cross-functionally and engaging with both junior and senior stakeholders. · Degree in Business, Operations Management, or related field (desirable) · Experience working with third-party ecommerce platforms or ERP systems (desirable) · Familiarity with platforms such as NEXT Total Platform, Shopify, or similar (desirable) Just to give you a taste of our culture, we’ll be looking for you to: Be a brand ambassador, safeguarding our values and ethos.
