Cancellation Notice Coordinator

Customer Service | Scheduling Changes | Remote | Full-time or part-time
£28.50–£30.50 an hour

A cancellation needs to reach the right people

When an appointment or scheduled service has been cancelled by someone authorised to make that change, the people affected need a clear notice.

The Cancellation Notice Coordinator handles that communication and the associated status updates. You would check which booking is affected, confirm the cancellation instruction, update the online record as permitted and send the approved message. The work is remote and involves customer service as well as accurate scheduling administration.

This role does not decide to cancel bookings, determine compensation or promise a replacement appointment. Those choices belong to the responsible team. Your work begins after an approved decision or a customer cancellation processed under the employer’s rules. If the source of a cancellation is unclear, you would not act on a vague forwarded message. You would seek confirmation before a notice reaches the wrong person or an active booking is removed.

The communication chain

A booking may involve the attendee, a colleague preparing for the appointment and a shared calendar. You would check the employer’s instructions about which of those parties must be notified. The outward message should identify the relevant date and booking without exposing someone else’s details. It should explain any confirmed next step and avoid adding a new date that has not been approved. After sending, you would record the action so colleagues can see the cancellation is communicated, not merely entered in a calendar.

Sometimes a customer cancels only one of several bookings. You should check the reference and date to avoid changing the others. If a person asks to reschedule in the same message, record that request and direct it to the scheduling process; a cancellation acknowledgement alone does not complete the new booking. The finished task leaves the original appointment status, communications and any separate follow-up accurately linked.

A notice should clarify:

  • Which booking and date are affected.
  • Whether the cancellation is already confirmed or still being checked.
  • Any next action the team has actually authorised.
  • Where a person can direct a further question.

That gives the recipient a usable message without implying a replacement slot or a decision about payment. The team will supply any wording specific to its service.

The work may include:

  • Checking that the cancellation instruction is authorised and identifies a particular booking.
  • Finding the correct calendar entry and related customer record.
  • Updating the permitted status without deleting the history.
  • Preparing the approved notice with the correct date and reference.
  • Confirming the intended recipient and communication channel.
  • Alerting relevant colleagues under the team’s procedure.
  • Recording when notices were sent and a reply received.
  • Routing a request for a replacement time or policy exception onward.

This job calls for a calm written tone. Cancellations may inconvenience people, and an unclear notice can cause them to attend anyway. You should be able to say what has been confirmed, what the person needs to do, and where a further question should go. Training will cover the employer’s online calendar, approved wording and decision boundaries. You would not be expected to know its schedule or policies in advance.

Previous reception, customer service or office administration experience may be helpful, but applicants with little or no formal experience are welcome. The starting skills are careful reading of dates, basic computer use and clear written communication. You should be comfortable asking a colleague to resolve a conflicting instruction. Work arranging a class or volunteer appointment can also be relevant.

You can carry out the notice work remotely, whether the opening is arranged for full-time or part-time hours. A quiet home office helps with careful checks of bookings and recipients. Pay is £28.50–£30.50 per hour. The company will explain how it confirms cancellations and assigns notices.

Joining the process

Your CV can show any experience handling schedule changes or sending accurate updates to affected people. The situation need not have been a formal appointment desk. The employer will teach its calendar and notice process, so newcomers should feel able to apply. If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. Use the initial application to make your relevant communication habits visible.
