We are looking for a highly organised and detail-oriented Care Support Officer to provide centralised administrative and coordination support to the Care Partner team. This role is focused on reducing administrative workloads by managing routine processes, maintaining accurate client records, coordinating with third-party providers, monitoring outstanding actions, and preparing information for review. This is a non-clinical role , suited to someone who can work efficiently across multiple priorities, communicate professionally, and escalate matters requiring clinical or care-related judgement to the appropriate Care Partner. What are you expected to do? Client Administration & Records Maintain accurate and up-to-date client information across Visual Care, Team Portal, and other systems. Upload, organise, and maintain client documentation and electronic files. Review client records for missing, incomplete, or outdated information. Audit new and existing client files against established checklists and follow up outstanding documentation. Update client profiles and prepare routine documentation as directed by Care Partners. Third-Party Providers & Service Requests Process third-party expenses, service requests, quotes, appointments, and related documentation. Liaise with suppliers, allied health providers, contractors, and other third-party providers. Follow up outstanding quotes, reports, invoices, and supporting documents. Maintain records and monitor the progress of service requests. Escalate service delays, issues, or concerns to the relevant Care Partner. Client Funding & Budget Support Assist Care Partners with routine monitoring of client budgets and expenditure. Maintain budget tracking and financial administration records as directed. Assist with comparing planned services and expenditure against available funding. Identify discrepancies or potential budget concerns and refer them to the relevant Care Partner. Support administrative processes relating to Support at Home funding, third-party expenses, assistive technology, and home modifications. Visual Care, Compliance & Follow-Up Review care worker notes and routine client documentation for matters requiring follow-up. Create, allocate, and monitor Visual Care tasks in line with established procedures. Track overdue documentation, reviews, and scheduled client activities. Assist with client file compliance, internal audits, and external compliance reviews. Maintain accurate compliance records and escalate clinical, incident, complaint, service delivery, or compliance concerns appropriately. Care Partner Administrative Support Provide administrative support across the Care Partner team based on workload and priorities. Prepare routine documentation, correspondence, and information for Care Partner review. Assist with coordinating appointments, assessments, supplier visits, and other client-related activities. Complete data entry, system updates, and administrative follow-ups as directed. Monitor shared workflows and ensure outstanding tasks are progressed within required timeframes. Provide administrative coverage during Care Partner leave where appropriate and undertake other reasonable administrative duties. You’ll be a great fit if: You have at least 3 years experience in an administrative, customer service, or coordination role, ideally within healthcare, aged care, or a similar environment. You have strong written and verbal English communication skills and can communicate professionally with internal and external stakeholders. You have a high level of computer literacy and confidence learning new software and systems. You are competent in Microsoft Office, particularly Outlook, Word, and Excel. You have excellent attention to detail and a high level of accuracy when entering, reviewing, and maintaining information. You have strong organisational and time-management skills. You can manage competing priorities and administrative requests from multiple team members. You can work independently within established procedures, policies, and role boundaries. You have strong follow-up skills and can monitor outstanding actions through to completion. You can recognise when a matter falls outside your scope and requires escalation to a Care Partner or manager. You have professional communication skills and confidence liaising with suppliers, contractors, and external service providers. You can maintain confidentiality and appropriately handle sensitive client and organisational information. You can work effectively as part of a remote team and maintain regular communication with Australian-based colleagues. You are willing to work Monday to Friday (6AM to 3PM Manila Time). It would be desirable if: You have previous administrative experience in aged care, disability services, healthcare, community services, or a similar sector. You have experience supporting care coordinators, case managers, nurses, allied health professionals, or other healthcare professionals. You are familiar with the Australian aged care, disability, or community care environment. You have experience using client management, case management, or healthcare management software. You have experience reviewing client records or conducting administrative file audits for completeness and compliance. You have experience processing service requests, purchase requests, supplier quotes, invoices, or other third-party expenditure. You have experience liaising with healthcare providers, allied health professionals, suppliers, or contractors. You have experience assisting with client budgets, expenditure tracking, or financial administration. You have experience using Visual Care, Microsoft Teams, SharePoint, and OneDrive. You have previous experience working remotely for an Australian organisation or supporting an Australian-based team. You have experience working in an environment involving privacy, confidentiality, and sensitive personal information.
