About Us

HireHawk connects skilled professionals with U.S. and Canadian companies, building remote teams across Latin America, the Philippines, South Africa, Europe, and beyond. We believe meaningful career opportunities should not depend on where you live, and we support our talent with structured onboarding, clear expectations, and dedicated team coordination.

About the Role

You will support the firm's Personal Injury Case Managers throughout the pre-litigation process. The team needs your hands-on experience to keep treatment coordination, client communication, and outstanding requests from becoming bottlenecks across a high-volume caseload. You will own routine administrative follow-through while working under your assigned Case Manager's direction and escalating concerns that require their judgment. Working hours are 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m. PST.

Responsibilities

  • Keep assigned pre-litigation cases progressing by tracking daily priorities, completing follow-ups, and supporting your Case Managers with outstanding action items.
  • Keep English- and Spanish-speaking clients informed about case updates, medical appointments, and treatment progress through clear, empathetic communication.
  • Coordinate medical appointments, referrals, MRIs, injections, and other recommended treatments under the direction of the assigned Case Manager.
  • Help clients stay on track with recommended treatment by following up on appointment attendance and flagging missed visits or treatment gaps.
  • Keep case files complete by requesting medical records, billing statements, treatment updates, and outstanding documentation from providers.
  • Move insurance-related follow-ups forward through policy searches, coverage verification, and communication with insurance adjusters.
  • Maintain reliable case histories through accurate notes, organized documentation, and current task updates in the firm's cloud-based case management system.
  • Surface potential delays by monitoring pending tasks and unanswered requests, escalating concerns to the assigned Case Manager.
  • Give the demand preparation team organized, accessible medical records, bills, insurance documentation, and supporting case materials.
  • Keep case handoffs coordinated across Case Managers, attorneys, medical records staff, and demand preparation personnel.

Must-Have:

  • 1-3 years or more of hands-on U.S. personal injury case management experience. Direct personal injury experience is required; general administrative experience alone is not sufficient.
  • Previous experience supporting California personal injury cases.
  • Bilingual English and Spanish, with strong written and verbal communication skills and an empathetic, professional approach to injured clients.
  • Working knowledge of personal injury workflows, medical treatment coordination, and insurance claims, including experience communicating with clients, medical providers, and insurance representatives.
  • Experience using legal case management software to maintain accurate case notes, documents, and follow-up tasks.
  • Strong organization and follow-through, with the ability to prioritize multiple cases, resolve routine administrative issues, and work remotely with minimal supervision.

Nice to Have:

  • Pre-litigation experience supporting Case Managers with large caseloads.
  • Familiarity with California-specific personal injury concepts, including Proposition 213.
  • Experience retrieving medical records, requesting billing documentation, and supporting demand preparation.
  • Understanding of bodily injury claims, insurance coverage verification, and policy limits.
  • Familiarity with cloud-based case management systems and paperless law firm workflows.
