Salary Range: $30.77 To $35.90 Hourly
* This position may primarily be performed remotely, however, candidates must live within 50 miles of our headquarters office (1725 Duke Street, Alexandria, VA 22314). This role requires weekend work – approximately 4 – 5 weekends per year (in person) between April and November.

Position Overview:
The Certification Specialist provides administrative and operational support for HRCI's certification exam development activities. This role assists with coordinating exam development projects, supporting volunteer subject matter experts, maintaining documentation and records, and ensuring activities are completed according to established procedures and timelines.
Support certification exam development activities by:
- Assisting with the coordination of exam development projects and meetings.
- Maintaining project timelines, schedules, and tracking tools.
- Preparing meeting materials and supporting virtual and in-person exam development workshops.
- Tracking exam development activities and following up on outstanding action items.
- Maintaining accurate records and documentation related to exam development activities.
- Entering and updating information in certification and volunteer management systems.
- Assisting with quality control reviews and administrative checks of exam-related materials.
- Following established procedures to support exam security requirements and confidentiality standards.
- Learning and utilizing systems and tools required to support certification programs.
Provide volunteer and stakeholder support by:
- Assisting with communications to volunteer subject matter experts.
- Coordinating volunteer onboarding and training logistics.
- Scheduling meetings and maintaining volunteer participation records.
- Monitoring shared email inboxes and responding to routine inquiries.
- Maintaining volunteer records and supporting recruitment efforts.
- Providing excellent customer service to volunteers, candidates, vendors, and internal stakeholders.
- Escalating complex issues or concerns to the Director, Test Development.
- Acting as a backup to the Senior Office Administrator for the purposes of processing volunteer recognition activities and recertification credit requests.
Support team and organizational goals by:
- Assisting with the collection and organization of candidate and volunteer feedback.
- Preparing reports, spreadsheets, and tracking documents as requested.
- Supporting logistical planning for meetings, workshops, and special projects.
- Identifying opportunities to improve administrative processes and operational efficiency.
- Maintaining effective working relationships with colleagues, volunteers, and vendors.
- Participating in training and professional development activities to build certification program knowledge.
The Skills You Need to Succeed:
- Associate's or bachelor's degree preferred; equivalent combination of education and experience will be considered.
- 3+ years of administrative, customer service, project coordination, or related experience, required.
- Experience supporting projects, events, volunteers, customers, or administrative processes, required.
- Experience with databases, CRM systems, learning management systems, or volunteer management systems, required.
- Understanding and sensitivity to cross-cultural interactions through work, education, and personal experiences, required
- Previous certification industry or exam development experience, desirable.
- Experience managing volunteers, desirable
- Strong organizational skills with a high level of attention to detail.
- Strong written and verbal communication skills.
- Ability to follow established procedures and maintain accurate records.
- Ability to manage multiple tasks and prioritize work effectively.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
- Ability to work independently and as part of a collaborative team.
- Strong customer service and interpersonal skills.
- Ability to learn new systems, processes, and industry concepts.
- Reliable follow-through and commitment to meeting deadlines.
Compensation range: $30.77 – 35.90/hour (approximately $60,000 - 70,000/year); Compensation is based on a variety of factors including, but not limited to, relevant experience, skills, internal equity, and geographic location.
