Role Description The Chair's Office Assistant is a remote volunteer role of 1-2 hours per week supporting the administrative and coordination needs of the Chair’s office. Tasks include handling email and phone inquiries, scheduling meetings, maintaining digital records, and preparing basic documents and correspondence. The role also involves assisting with coordination of online events, tracking action items, and ensuring timely communication between the Chair and internal or external stakeholders. The assistant may help manage office tools and platforms, compile simple reports, and update contact lists or calendars. This position offers insight into the operations of a European intelligence-focused institute and requires a reliable, organized individual who can work independently in a virtual environment.
Qualifications
- Candidates should possess strong Phone Etiquette and Communication skills for professional interaction with internal and external contacts.
- Candidates should possess solid Administrative Assistance and Clerical Skills to support scheduling, record keeping, document preparation, and general office tasks.
- Candidates should possess familiarity with Office Equipment and digital tools, including email platforms, online calendars, and basic office software.
- Candidates should possess attention to detail, time management, and the ability to prioritize tasks in a remote setting.
- Candidates should possess proficiency in written and spoken English; additional European languages are an advantage.
- Candidates should possess discretion and a commitment to confidentiality, especially when handling sensitive information.
- Candidates should possess basic understanding or interest in intelligence, security, or related fields; prior experience in an office or academic environment is beneficial.
