Company Overview

Our client is a boutique music merchandise company based in Los Angeles, working with some of the most impactful global touring artists in the alternative space — Coachella, Lollapalooza, Warped Tour, and beyond. Though they operate at a high level, they're a tight, independent team doing highly custom, highly creative work for artists on the rise and at the top. As touring volume continues to grow, they're expanding their leadership team to keep pace.

Role Overview

The Chief of Staff is one of the most consequential and wide-ranging roles in the company. This position sits directly beside the CEO and is designed with a singular operating objective: learn how the CEO thinks, operates, and makes decisions, and over time become capable of acting in the CEO's place across all areas of the business.

This is not a traditional administrative role. It is not a project management role. It is not a departmental role. It is a full-spectrum apprenticeship to the CEO seat — one that includes everything from executive scheduling and inbox management to high-stakes client relationships, corporate governance, strategic infrastructure, and business development. The Chief of Staff is expected to develop fluency across all of it.

The mandate in one sentence: Be the CEO's operational extension — ensure nothing falls, nothing is missed, and the business moves forward with or without the CEO in the room.

The first six months are intentionally designed to be broad, fast-moving, and immersive. The Chief of Staff will be looped into everything the CEO touches — client conversations, internal leadership decisions, vendor calls, corporate projects, tour activations, and board-level communications. Scope will be wide and the workflow will frequently shift. Comfort with ambiguity and a bias toward action are requirements, not preferences. After the six-month mark, responsibilities will be organized and formalized based on where you've demonstrated the greatest impact.

Responsibilities

CEO Support & Operational Extension

  • Manage the CEO's calendar, scheduling, and inbox — filtering, prioritizing, and ensuring the CEO's time is protected and allocated to the highest-value activities
  • Draft, organize, and send communications on behalf of the CEO when directed
  • Prepare the CEO for meetings, calls, and client interactions with briefing materials, context, and relevant background
  • Follow up on open items, commitments, and action steps from the CEO's interactions to ensure nothing falls through
  • Track and manage the CEO's open projects, ensuring forward momentum and appropriate escalation when needed
  • Act as the CEO's proxy in internal settings when the CEO is unavailable, communicating direction clearly and accurately

C-Suite & Corporate Support

  • Provide high-level business support to the President and CFO on matters requiring cross-functional coordination or C-suite involvement
  • Support financial planning processes including budget cycles, forecasting reviews, and scenario modeling
  • Ensure the company maintains the right external professional relationships — legal, accounting, insurance, banking — and that those relationships are managed proactively
  • Prepare board communications, shareholder updates, and materials for board meetings
  • Run board meeting logistics — agenda preparation, pre-read distribution, minutes, and follow-up tracking

Client & Tour Operations

  • Develop fluency across the CEO's top-tier client relationships and serve as a point of contact when the CEO needs coverage
  • Stay across the key details of major tour campaigns — timelines, deliverables, activations, and escalations
  • Support the planning and execution of pop-up events, artist activations, and experiential marketing initiatives
  • Build and maintain direct relationships with artist teams, managers, and tour staff on behalf of the CEO
  • Proactively surface issues across key client accounts before they become problems

Strategic Infrastructure & Special Projects

  • Own and drive forward the CEO's strategic initiatives and internal infrastructure projects end-to-end
  • Manage special projects from scoping through close-out — project planning, stakeholder alignment, execution tracking
  • Own the research, analysis, and preparation work that precedes the CEO's major decisions and conversations
  • Build systems and processes that improve how the CEO's office operates as the business scales
  • Identify gaps in infrastructure, partner relationships, or operating systems and bring solutions — not just observations

Qualifications

  • 4–8 years of experience as an Executive Assistant, Chief of Staff, or in a senior operational support role — ideally supporting a C-suite executive at a high-growth or high-volume organization
  • Background in music, entertainment, or live events strongly preferred — familiarity with the touring or music merchandise space is a significant plus
  • Demonstrated ability to support leadership at a strategic level — board prep, corporate communications, cross-functional coordination — not just scheduling and travel
  • Strong project management skills with the ability to own initiatives from scoping through close-out with minimal oversight
  • Exceptional written and verbal communication — able to draft professional correspondence, briefing materials, and summaries that represent the CEO accurately
  • Highly organized with the ability to hold multiple open threads simultaneously without dropping any
  • Discretion and sound judgment — this role has visibility into every part of the business and handles confidential information daily
  • Bias toward action and comfort with ambiguity — especially during the onboarding period, the role will evolve quickly and require adaptability
  • Presence and professionalism in client-facing settings — this role will represent the company to artists, managers, and partners
  • No task is beneath the role — the Chief of Staff operates across the full spectrum of the CEO's needs and approaches every responsibility with the same standard of execution
  • Proficient in Microsoft Office Suite and Asana
  • Based in or able to commute to Los Angeles
