About Our Clients Our client is a results-driven real estate investment and education company that helps military and civilian investors build wealth through shared living strategies and VA-backed real estate. Through its community and consulting programs, the company provides investors with practical insights, resources, support, and access to an experienced network of real estate investors and entrepreneurs. They are looking for an experienced Executive Assistant or Chief of Staff to work closely with leadership across executive support, special projects, operations, and process improvement. The final scope and title will be determined based on the candidate’s experience and strengths. While executive support is an important part of the role, this position goes beyond traditional administrative responsibilities. The ideal candidate will be highly tech-savvy, proactive, and comfortable taking ownership of special projects, improving workflows, and finding smarter ways to get work done. In short, we are looking for someone who doesn’t just ask, “What needs to be done?” but also asks, “How can we build a better system for doing this?” Key responsibilities Executive & Leadership Operations Manage executive calendars, scheduling, meetings, travel, inboxes, and competing priorities. Prepare leadership for meetings by organizing agendas, materials, information, and action items. Track decisions, commitments, and follow-ups to ensure important priorities do not fall through the cracks. Coordinate communication across executives, internal teams, external partners, and other stakeholders. Anticipate leadership needs and proactively resolve issues before they become blockers. Automation & Systems Integration Identify repetitive, manual, or inefficient workflows across the business and determine how they can be automated. Build AI-powered or automated workflows that reduce manual administrative work and improve speed, accuracy, and visibility. Build, test, maintain, and improve workflows using Make.com, n8n, Zapier, or other native integrations. Troubleshoot automation failures, monitor workflows, and continuously improve existing systems. Document automated processes and create scalable SOPs so workflows can be understood and maintained by the broader team. Business Operations & Special Projects Own and coordinate cross-functional projects from planning through execution. Translate leadership priorities into clear action plans, owners, timelines, and follow-ups. Identify operational bottlenecks and independently develop solutions to improve efficiency. Build and maintain systems for tracking projects, KPIs, priorities, and organizational workflows. Partner with different teams to ensure initiatives stay on track and blockers are resolved quickly. Take ownership of ad hoc operational and strategic initiatives as business needs evolve. 4+ years of experience in Executive Assistant, Executive Operations, Chief of Staff, Business Operations, Operations Management, CEO Office, Special Project or a similar role. Strong experience directly supporting executives or senior leadership. Hands-on experience building workflow automations and system integrations. Strong working knowledge of at least one automation platform such as Make.com, n8n, or Zapier, with the ability to independently build and troubleshoot workflows. Experience connecting multiple applications or business systems through APIs, webhooks, native integrations, or automation platforms. Demonstrated practical use of AI tools such as ChatGPT, Claude, Gemini, or similar platforms to improve real business workflows. Strong understanding of how to identify manual processes that can be automated and translate business requirements into technical workflows. Strong executive support fundamentals, including calendar management, inbox management, scheduling, travel coordination, meeting preparation, and follow-up. Proven ability to independently manage cross-functional projects and operational initiatives. Highly analytical, resourceful, and comfortable figuring out unfamiliar tools or systems independently. Strong written and spoken English. Extremely organized, detail-oriented, proactive, and comfortable operating with minimal supervision. Comfortable working in a fast-paced remote environment with significant autonomy. Willingness and ability to work full-time hours with complete overlap with U.S. Pacific Time (PST). You have a track record of making a team significantly more efficient through technology, systems, and process improvement.
