Chief of Staff / Integrator

Job Description This is a remote position. Our client is looking for a Chief of Staff / Integrator to become the operational backbone behind two rapidly growing eCommerce brands. They operate within the eCommerce and consumer products industry and have experienced significant multi-channel growth in recent years through marketplaces, direct-to-consumer expansion, and operational scaling initiatives. This position is designed for someone who thrives on execution, accountability, and building structure in fast-paced founder-led environments. The ideal candidate will act as the Founder’s right hand, ensuring ideas are transformed into organized initiatives, projects move forward efficiently, and operational systems scale alongside the business. This is not an administrative support role or a basic project management position. It is a high-impact operational leadership role focused on driving execution across multiple teams and brands. The person in this role will work closely with leadership, coordinate cross-functional priorities, improve workflows, and create operational clarity while reducing the Founder’s day-to-day operational burden. Responsibilities CEO Force Multiplier Capture and organize priorities, ideas, and decisions from the Founder to ensure nothing is overlooked. Translate leadership direction into actionable project plans with clear ownership, deadlines, and deliverables. Run execution cadences including daily updates, progress reviews, and escalation tracking. Shield leadership from unnecessary operational distractions and reactive workflows. Deliver concise daily and weekly operational summaries proactively. Maintain and prioritize an organized backlog of ideas and initiatives. Team Accountability Hub Manage and maintain the master project tracking system across both brands. Lead recurring execution meetings focused on progress, blockers, missed deliverables, and next steps. Follow up consistently with team members to ensure commitments are completed on time. Escalate issues early before they impact operations or revenue goals. Foster accountability while maintaining positive and professional team dynamics. Ensure every initiative has a defined owner, timeline, and success criteria. Operational Systems Builder Develop and optimize SOPs for recurring workflows including product launches, fulfillment coordination, catalog management, asset requests, and operational processes. Build and manage project management systems within tools such as Monday.com, ClickUp, Asana, or similar platforms. Identify operational inefficiencies and improve them through templates, automation, systems, and documentation. Reduce dependency on undocumented Founder knowledge by building scalable infrastructure. Independently oversee execution priorities related to the company’s high-growth medical and healthcare-focused brand. Support operational scalability across Amazon, Shopify, Walmart, Etsy, TikTok Shop, Pinterest, and additional sales channels. Requirements Proven experience as a Chief of Staff, Integrator, Head of Operations, or Operations Manager within a founder-led company. Strong background in eCommerce operations, including direct exposure to Amazon, Shopify, or multi-channel selling environments. Exceptional English communication skills with natural conversational fluency and polished presentation abilities. Experience building project management systems and workflows from the ground up. Demonstrated ability to consistently close projects and follow initiatives through completion. Strong leadership and accountability management skills with confidence addressing operational gaps directly. High level of business acumen with understanding of operational execution tied to growth and revenue. Ability to work independently in fast-paced and evolving environments. Strong proficiency using AI tools such as ChatGPT , Claude, or equivalent platforms as part of daily workflows. Qualifications MBA or equivalent business-focused operational experience is highly preferred. Experience supporting entrepreneurs or founders in scaling organizations. Familiarity with Amazon Seller Central, catalog management, and PPC coordination processes. Exposure to TikTok Shop operations and social commerce ecosystems. Experience creating automations, dashboards, and operational reporting systems. Experience managing remote international teams across multiple time zones. Strong organizational discipline with the ability to prioritize effectively under pressure. Self-starter mentality with high ownership and low need for supervision.
