Client Care Coordinator
Location: Onsite - La Mesa, CA
Employment Type: Full-Time, W-2 Employee, Non-Exempt
Hourly Rate: $20-22/hr; paid bi-weekly
Schedule/Hours: Monday-Friday 8:00 AM-5:00 PM; 40 hrs/week
Join our amazing Administrative Support team as a Client Care Coordinator!
Positive Change Counseling Center is a mental health practice serving the greater San Diego area, Ventura, as well as telehealth clients throughout California. We pride ourselves on providing the best care for our clients by helping to match them with the right therapist, and by answering questions related to insurance benefits and client payments. In this role you will assist clients with any questions related to copayments and insurance coverage, answering all phone calls and emails professionally and kindly, making existing office systems more efficient, and scheduling new client appointments. In addition, you will be contacting insurance companies to obtain payment on denied claims to assist clients in receiving the correct coverage for their therapeutic services received at Positive Change Counseling Center.
There is an opportunity for a hybrid schedule after initial training is completed!
Client Care Coordinator Responsibilities:
- Provide excellent customer service to potential clients seeking mental health treatment and/or psychological testing
- Schedule appointments - we take great pride in matching potential clients with the best therapist for them
- Comply with company policies and procedures including HIPAA, ethics, conduct, and safe working expectations
- Verify client health insurance/benefit information
- Collaborate with clinicians and clients to support ongoing care
- Collecting co-payments and past-due balances from clients
- Request and process necessary authorizations for new referrals
- Answer phone calls and emails within the same business day or the following business day if received after 4 pm
- Verify client eligibility at beginning of the new calendar year
- Perform clerical duties including typing, filing, and completing forms
- Operate office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment
- Sort incoming mail and deliver to appropriate individuals; process outgoing mail
Compensation and Benefits:
- Compensation: $20-22/hr; paid bi-weekly

Requirements
Client Care Coordinator Qualifications:
- High school diploma or GED required
- Associate’s degree or billing certification preferred
- Minimum one year of previous clerical experience
- Previous experience with Salesforce and/or AdvancedMD highly desirable
- Proficient in basic computer software and can quickly learn to use new programs
- Shows ability to quickly finish very detailed work
- Display excellent written, problem-solving, and verbal communication skills
- Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
