Client Coordinator — CFO Team

Location: Remote (7am - 3pm PST)

To help eCommerce business owners scale their businesses with more cash and less stress.

This requires a broad range of skills including financial modeling, risk management, understanding of US/Canadian GAAP, financing, audit, investor relations and more.

Lastly, as you might expect of a finance company, we work really hard when we need to, but we don't work hard just for the sake of it. We don't miss our kids' concerts, we work out during the day and we usually sign off early on Fridays.

About the position

You're an experienced Client Coordinator who's used to owning the client experience from the first call through ongoing delivery and making every client feel taken care of. You are a proactive problem solver who takes initiative to fix things and make things better, you don't wait to be asked, you're always on the lookout for ways you can help.

You are fluent in Spanish and speak English with a clear, neutral North American accent. You have experience communicating with clients and internal staff, coordinating projects, sending updates and more. You are warm and engaging. You will work alongside our CFOs and analysts to coordinate client relationships across the company, from onboarding through ongoing delivery.

You will be working in a wide range of tech/software platforms including Google Workspace, Claude, ClickUp and more.


What you will do

Time Zone:

  • Flexible Working: We offer flexible hours and remote work arrangements focused on output and impact, along with 20 days of paid time off (PTO) annually. This role requires consistent overlap with PST, Vancouver working hours (7am–3pm PST), plus availability to join calls with North American clients.

Client Coordination:

  • Primary Point of Contact: Serve as the primary point of contact for client inquiries, follow-ups, and scheduling, in a warm, professional voice, whether the conversation happens in Spanish or English.

  • Client Onboarding: Own onboarding logistics: kickoff scheduling, onboarding materials, and calendar coordination for new clients.

  • Follow-Up Discipline: Track client touchpoints and follow-ups so nothing is missed and no client is ever left wondering “what's the next step?”

  • Client Updates: Prepare and send client updates and reports on a regular cadence.

  • Early Warning: Flag client satisfaction issues early and loop in the client's CFO or the right internal team.

Client Communication and Meetings:

  • Schedule and coordinate all client meetings, including kickoffs, monthly reviews, and check-ins, and resolve conflicts before they reach the client.

  • Prepare for client meetings: share agendas, gather the latest client context, and organize notes and action items afterward.

  • Monitor client channels (email and Slack) and route each request to the right CFO or analyst, so no client message goes unanswered.

  • Keep client records, deliverable trackers, and CRM data accurate and up to date.

  • Coordinate document and data requests with clients so the finance team has what it needs on time.

  • Collect client feedback and support renewal and offboarding logistics.

Operations Duties:

  • Document SOPs for recurring processes as they're built out.

  • Manage and push forward client and internal projects.

  • Report on project statuses from within ClickUp.

What you must have

  • Spoken and written English at a neutral, North American accent, comfortable as the first point of contact on client calls.

  • You are the most organized person you know.

  • You surprise people by how fast you learn new things.

  • You can manage multiple priorities, projects, deadlines and deliverables.

  • You can use independent judgment, problem-solve, be creative and answer questions.

  • You're comfortable adapting to change in a fast-paced and dynamic environment.

  • You have outstanding interpersonal, verbal, and written communication skills.

  • You handle ambiguity well and you take mistakes in stride (they are opportunities to learn).

Your experience and education

  • Proven experience as a Client Coordinator, Account Coordinator, Client Success Associate, or similar client-facing role.

  • Excellent organizational and time-management skills.

  • Fluent Spanish and English, spoken and written. North American accent required.

  • Discretion and ability to handle confidential client and financial information with professionalism.
