We are looking for a dynamic Client Service Specialist to join our team.
Role Description
This is a full-time on site or remote role. The Client Service Specialist III is responsible for providing exceptional customer service by responding to client inquiries, supporting UKG module builds or changes, accurately processing basic to complex payrolls, and collaborating with other departments. This role requires a high level of attention to detail, excellent communication skills, and the ability to work efficiently in a fast-paced environment.
· Support client relationships and provide excellent client service to build trust by advising and assisting clients with the UKG Ready Payroll software across all modules in a supportive, friendly, and professional manner.
· Answer calls from clients in a professional, positive, and timely manner, providing clear and accurate information.
· Resolve any client inquiries or issues from basic to complex timely and efficiently.
· Complete work with the highest level of accountability, accuracy, and ethics
· Maintain total confidentiality with client payroll information.
· Process payrolls on time for clients of any type from basic to complex, accurately entering timesheet data, ensuring accuracy, complying with client specifications, company policies, and regulatory guidelines.
· Ensure client payrolls are delivered accurately and on time including printing checks or deposit statements, remitting child support or garnishments, new hire reporting and third-party vendor payments.
· Complete data entry, data extraction, and report generation tasks accurately and timely.
· Provide cross module mentoring and training of coworkers, clients or other internal colleagues.
· Collaborate with other departments and management on client issue escalation or special projects as assigned.
· Document all communications, maintain detailed records of client interactions, and payroll processing activities.
· Stay updated on the basics of payroll processing regulations and best practices, communicating updates to others clearly, concisely, and timely.
· Maintain familiarity with payroll laws, regulations, and software updates to ensure compliance, and provide accurate information to clients.
· Support implementation team with client builds across modules of the UKG Ready platform.
· Use UKG Ready payroll software and various software packages (such as Excel, Salesforce, Adobe, etc.) to manage data effectively and efficiently.
· Resolve discrepancies and ensure smooth payroll processing, escalating complex problems quickly for resolution.
· Work toward continuous quality improvement in procedures, payroll processing, and customer service.
· Support, maintain, and write standard operating procedures.
· Support and comply with all safety and security policies to ensure data is protected and employees are safe.
· Maintain compliance with all company policies and procedures.
· Perform other duties as assigned.
Education and/or Work Experience Requirements:
· High school diploma or equivalent; associate or bachelor’s degree in business, finance, or a related field preferred.
· 2+ years of experience in Client Service Specialist II using UKG Ready required.
· Able to react to change, manage multiple tasks, and prioritize project tasks.
· Ability to read, analyze, and interpret numerical data, various types of communication, payroll regulatory guidelines, and apply the knowledge across clients.
· Ability to calculate figures and amounts such as wage rates, commissions, proportions, percentages, find discrepancies, use formulas in excel using basic algebraic formulas.
· Excellent problem solving and attention to detail to ensure accuracy and verification of data.
· Excellent verbal and written communication skills.
· Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
· Ability to apply concepts of basic math, addition, subtraction, multiplication, and division.
· Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
· Ability to deal with problems involving generally concrete variables in standardized situations.
Physical Requirements:
· Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
· Ability to maintain regular, punctual attendance consistent with Company policies.
· May sit for long periods of time – up to 4 hours.
· Constant computer screen usage to complete work tasks (for reading and quality assurance).
· Constant use of vision to read information on paper and electronic formats.
· Frequent use of hearing to listen to instruction, and communicate with others in person, in virtual meetings, or on the phone.
· Frequent use of hands to type, move documents, grasp, hold, use printers or scanners, and file.
· Frequent use of arms for reaching, sorting, and filing.
· Ability to see color variations on a computer screen or on paper.
· May be required to travel, on occasion, to attend client meetings, offsite training/seminars and other work-related events. May require use of personal vehicle.
· May lift and carry up to 20 lbs on occasion.
· Works in an indoor, temperature-controlled environment with standard office noise.
