The Collections and Landlord/Tenant Administration Manager oversees the day-to-day management of landlord/tenant litigation and collections activity across an assigned geographic portfolio that may include several different states, while also supervising a team of 4 to 5 team members who each manage similar responsibilities within their own geographic areas. This role partners closely with community managers, regional staff, and outside local landlord/tenant counsel to ensure that non-payment and other landlord/tenant matters are initiated, tracked, and resolved consistently, accurately, and on schedule. The role reports to the General Counsel, Property Management, within the Legal Department. RESPONSIBILITIES: Directly own and manage a dedicated geographic portfolio of collections and landlord/tenant litigation matters, in addition to supervisory duties. Monitor all landlord/tenant litigation within the assigned geography from initiation through resolution. Arrange and lead monthly update meetings with local landlord/tenant counsel to review case status and next steps across the portfolio. Enter and maintain landlord/tenant case updates in the property management system on a timely and accurate basis. Work with community managers, regional staff, and outside local landlord/tenant counsel to initiate non-payment legal proceedings against current tenants on a regular, consistent cadence, as well as holdover and other proceedings on an as-needed basis. Serve as a first point of contact, together with the community manager, for outside landlord/tenant counsel on information requests and settlement negotiations. Supervise, coach, and support a team of 4 to 5 team members, each responsible for similar landlord/tenant administration duties within their own geographic portfolio. Review direct reports' case management and litigation activity to ensure consistency, timeliness, and compliance with company standards and applicable landlord/tenant law. Identify trends or issues across geographies and escalate to the General Counsel, Property Management, as appropriate. Monitor and report on team-wide portfolio KPIs — including case aging, cycle time, collections recovery rate, and outside counsel spend — across all direct reports, in addition to comparable metrics on their own limited caseload. Minimum of five (5) years of prior paralegal or legal case management experience required; experience with landlord/tenant, eviction, or collections matters strongly preferred. Prior experience supervising or mentoring team members preferred. Experience with property management systems (e.g., Yardi, RealPage, or similar) preferred. Strong organizational and case-management skills, with the ability to manage a high volume of active matters across multiple jurisdictions simultaneously. Excellent written and verbal communication skills, with the ability to work effectively with outside counsel, community managers, and regional staff. Sound judgment and discretion in handling sensitive tenant, legal, and settlement information. Ability to work independently in a remote environment and manage competing deadlines across an assigned geography. Diversity in backgrounds and experiences is key to Fairstead’s success.
