About the Role
As a Community Association Manager, you will oversee a growing portfolio of single-family homeowner associations while serving as the primary advisor and relationship manager to each Board of Directors.
You will guide Boards through operational and financial decisions, coordinate vendors and community projects, monitor property conditions, resolve homeowner concerns, and maintain clear communication among Boards, residents, vendors, and CMGT’s internal teams.
Because CMGT is expanding into a new market, the portfolio will begin on the smaller side and may include full-management, financial-only, and developer-controlled communities. Portfolio size will be determined based on the number of homes, amenities, management structure, and overall complexity of each community.
This role is ideal for a confident, proactive professional who can take ownership, make sound decisions, and keep multiple priorities moving without losing accuracy or follow-through. Success requires an analytical and direct communication style, strong attention to detail, comfort working through changing priorities, and the judgment to create structure when the path forward is not always fully defined.
Work Schedule
- Monday through Thursday, 8:00 a.m. to 4:30 p.m.
- Friday, 8:00 a.m. to 4:00 p.m.
- Fully remote work between community visits and meetings
- Regional travel to communities in Chattanooga and Knoxville, Tennessee, and Huntsville, Alabama
- Some evening Board meetings as required
Core Responsibilities
Board and Community Leadership
- Serve as the primary point of contact and trusted advisor for assigned Boards of Directors
- Provide timely, factual updates on property matters, compliance, financial health, governance, meetings, and open action items
- Guide Boards through vendor selection, community projects, budgets, architectural requests, payment plans, and other operational decisions
- Prepare agendas, presentations, and supporting materials for Board, annual, and special meetings
- Facilitate meetings and ensure Board decisions and action items are completed
- Coordinate new Board orientations and establish clear expectations for communication, systems, and service
Homeowner Communication and Issue Resolution
- Respond to homeowner questions, escalations, tickets, calls, and emails with professionalism and urgency
- Review prior correspondence and document complete, accurate notes before responding to escalated matters
- Resolve conflict proactively and communicate clearly before concerns develop into broader resident issues
- Prepare newsletters, announcements, mailings, and other community communications
- Maintain a customer-first approach while balancing governing documents, Board direction, and community needs
Property and Vendor Oversight
- Maintain awareness of community conditions, schedules, work orders, and required follow-up
- Coordinate community inspections and site visits with CMGT’s Site Visit Specialist
- Conduct CAM visits according to established community timelines
- Review inspection findings, photographs, governing documents, corrective-action needs, and open property matters
- Direct vendors, coordinate onsite meetings, secure and follow up on bids, and monitor vendor performance
- Resolve vendor service concerns, invoice discrepancies, and incomplete work
- Keep work orders current with status notes, documentation, photographs, and target completion dates
- Document mileage and required quality-control materials accurately and on time
Financial and Administrative Management
- Review budgets, reconciliations, income and expense reports, bank statements, aged owner balances, and other financial reports
- Identify potential errors, trends, funding concerns, and upcoming financial needs
- Prepare annual budgets using historical data, contractual expenses, project needs, bids, and funding projections
- Present budget recommendations clearly and guide Boards through approval and implementation
- Monitor delinquencies, liens, payment plans, reserve accounts, investment accounts, and potential income shortfalls
- Review and approve invoices weekly and resolve discrepancies with vendors and internal teams
- Create midyear forecasts and communicate financial results and recommendations to Boards
- Monitor insurance renewals, quotes, and claims
- Coordinate documentation and communication among Boards, insurance agents, vendors, and internal teams
- Coordinate reserve studies, tax documents, and other association requirements when requested
Systems and Documentation
- Maintain accurate information and activity notes in Vantaca, BambooHR, SouthData, Outlook, Microsoft Teams, RingCentral, Canva, and related systems
- Use calendars, action items, reports, and established processes to manage meetings, contracts, budgets, site visits, projects, and deadlines
- Maintain organized community records, supporting documentation, correspondence, and photographs
- Adopt new technology and AI-enabled tools that improve communication, efficiency, and service
- Participate in daily standups, quarterly training, quarterly coaching, and Rock Review meetings
Required Qualifications
- High school diploma or GED
- Excellent written and verbal communication skills
- Strong organizational and time-management skills with consistent attention to detail and follow-through
- Ability to work independently and exercise sound judgment
- Comfortable learning and navigating multiple technology platforms, including AI-enabled tools
- Valid driver’s license, reliable transportation, and a clean driving record
- Ability to travel throughout the assigned regional territory
- Availability to attend occasional evening Board meetings
Preferred Qualifications
- Working knowledge of property management, community association management, residential operations, or a related service environment
- Experience working directly with customers, clients, Boards, homeowners, vendors, or community stakeholders
- Experience reviewing budgets, financial reports, invoices, contracts, or project documentation
- Familiarity with Vantaca, BambooHR, Microsoft 365, Canva, RingCentral, or similar systems
- A strong and stable work history with few unexplained gaps
- Direct HOA or property management experience is helpful but is not required.
- No community association management license or credential is required at hire. CMGT typically asks new Community Association Managers to complete the CAI M-100 course after their first 90 days and covers the associated cost.
