The Centre for Addiction and Mental Health (CAMH) is Canada’s largest mental health teaching hospital and one of the world’s leading research centres in its field. The Corporate & Community Partnerships team is responsible for engaging corporate Canada and community groups in a meaningful way that results in long-term and sustainable partnerships that help the Foundation reach its fundraising, awareness, and impact goals. THE OPPORTUNITY The Coordinator provides administrative, fundraising and operations support to the Community Partnerships team. This role coordinates activities that support the effective discovery, cultivation, solicitation, stewardship and engagement of the Foundation’s community partners. KEY RESPONSIBILITIES: Administrative Support Provide administrative and fundraising coordination support to the Community Partnerships team, helping manage partner and donor relationships, fundraising activities, reporting and day-to-day operations. Draft, format, review and edit a range of partner correspondence including agreements, gift acknowledgements, invitations, and more. Assist with the preparation of presentation decks, proposals, stewardship reports, briefing notes, and other donor materials and packages. Update and maintain donor database (Raiser’s Edge), electronic files and records in a timely manner as per our policies and business processes. Work closely with Donor Managers to Ensure that RE records, actions, contact information and proposals are up to date. Review prospect lists, make recommendations and perform quality control on lists pertaining to event invitations, recognition, and fundraising products. Perform general office support duties such as preparing meeting packages, filing, arranging couriers and mailings. Coordinate and manage expense invoices and prepare monthly expense reports as needed. Partnership Engagement Support the coordination of partner engagement activities including events and volunteer activations with the hospital. Engage with donors and partners as requested to fulfill engagement touchpoints throughout the fundraising cycle (e.g. responding to inbox inquiries, providing tax receipts, etc.) Assist the Community Partnerships team in the delivery of engagement touchpoints and in line with established donor experience journeys. Fundraising Support & Management Manage and build a portfolio of smaller DIY and third-party event community partnerships (under $10,000 per year), including acting as a fundraising coach for DIY initiatives and as a relationship manager for select partnerships. Contribute toward Community Partnerships revenue and participation goals through effective management of an assigned fundraising portfolio. Support Corporate & Community partnership team by managing the business units email inboxes, responding to participant and donor inquiries, conducting initial qualification calls and providing prompt responses. Provide fundraising coaching, guidance and best practices to DIY and third-party event organizers to maximize participation, fundraising success and donor experience. Provide first-line support for the DIY fundraising platform, assisting participants with registration, fundraising pages and platform navigation. Coordinate logistics and distribution of event materials and supplies Assist Director, Community Partnerships and Manager, Community Partnerships in management of community pipeline as required. Attend and support hospital and fundraising events as needed. Collaborate across Foundation teams to coordinate stewardship, recognition, engagement, and donor experience. Identify opportunities to improve fundraising processes, participant experience and administrative efficiencies. WHAT YOU’LL BRING TO THE TEAM A minimum of 3 years of relevant work experience in non-profit administration, fundraising or operations. Excellent oral and written communication skills. Strong overall administrative skills, including well-developed business writing and proofreading experience. Demonstrated ability to multi-task and to successfully manage multiple priorities as evidenced by excellent organizational and time management skills. Commitment to timely and appropriate customer service, rooted in initiative and tact. Superior computer literacy in Microsoft Office software applications including Word, Excel and PowerPoint. Luminate Online TeamRaiser experience an asset. Experience using donor or CRM databases. Raiser’s Edge knowledge strongly preferred. A flexible team player able to collaborate and support colleagues and motivated to achieve results. Professionalism, judgment and discretion in dealing with confidential and sensitive matters essential. Willingness to learn and to take on additional responsibilities as appropriate. General knowledge of fundraising practices, procedures and standards preferred as evidenced by a combination of relevant work, education or professional development. A post-secondary education or comparable combination of work and education experience that is deemed equivalent.
