You will serve as an important point of contact for customers while supporting document control, data management, quality systems, and continuous process improvement. Your Accountabilities in the Role: Prepares, prioritizes, and coordinates compliance administration to ensure accurate, complete, and on-time certification processes. Assists with customer inquiries and serves as a primary contact between customers and the organization to provide prompt and professional issue resolution. Coordinates the delivery of certification correspondence and ensures information is distributed to the appropriate stakeholders within established timelines. Maintains and audits customer documents to ensure accurate archiving and documentation in accordance with industry standards and regulatory requirements. Maintains and organizes customer files within applicable systems to ensure information remains accessible, accurate, and compliant with established standards. Audits and maintains the Organic Integrity Database (OID), updating certified operations data to ensure accuracy and completeness. Maintains control documents, including updates, distribution, and archiving, to support effective document control throughout the certification process. Coordinates internal procedures with task management tools and quality systems to ensure processes are maintained, updated, and compliant. Coordinates annual process reviews to support team compliance, process effectiveness, and organizational goal alignment. Handles incoming issues and concerns promptly, using sound judgment and problem-solving skills to support efficient certification processes. Supports quality management processes by updating procedures, documents, and materials to maintain program effectiveness and compliance. Supports other areas of the business as needed to ensure accurate, timely, and efficient processes for customers. Position Requirements: Education: High School Diploma or equivalent required; a combination of education and relevant experience will be considered. Experience: 2+ years of experience managing customer inquiries and administrative responsibilities required; experience supporting certification processes or working in an agricultural-based business is preferred. Certifications: No certifications required. Functional Skills: Solid issue and conflict resolution skills; strong ability to multitask, problem-solve, and follow up; strong project and time management skills; extremely organized with a high attention to detail; ability to support certification processes; understanding of regulatory, compliance, and quality standards; ability to make sound and accurate decisions; proficient in data management; ability to review processes and make recommendations for improvement. Technology Skills: Solid technology aptitude and experience working with online systems and portals; strong proficiency with Microsoft Word, Excel, and Outlook Calendar. Communication Skills: Excellent verbal and written communication skills; proactive approach with the ability to communicate professionally, politely, and effectively with customers, coworkers, and other stakeholders.
