B2B Realty, a leading property management and brokerage firm, is seeking a detail-oriented Compliance Intern to join our Compliance team. The ideal candidate will bring strong organizational skills, a proactive approach to documentation and tracking, and a commitment to accuracy and follow-through. As a Compliance Intern, you will own the field-level compliance work for an assigned portfolio licensing documentation, utility management, rental registrations, lead compliance, and property violations while directing Assistant Property Managers (APMs) on the work orders that support it. You'll collaborate closely with AGMs, the Legal, Customer Success, property owners, utility providers, and municipal offices to keep compliance accurate, current, and audit-ready. This is a hands-on role with real ownership from day one, and it is designed as a pathway into a full-time Compliance position for the selected intern. Note: This is a remote position and candidates will work U.S. business hours (EST). Prepare Landlord/Agent Identification Certificate (LAIC) documentation for assigned properties, ensuring accuracy and completeness ahead of owner review. Coordinate owner signings with the Customer Success team, following up proactively to keep documents moving toward execution. Maintain organized records of signed LAIC documents and track outstanding signatures to closure. Place and manage utility calls with service providers on behalf of assigned properties. Coordinate utility turn-ons and turn-offs in line with unit occupancy and turnover schedules, minimizing service gaps. Track utility payments and prepare payment requisitions for timely processing. Maintain accurate, up-to-date utility account records for all assigned properties. Process annual rental registration renewals for existing units ahead of jurisdictional deadlines. Complete new unit rental registrations promptly as properties are added to the portfolio. Monitor upcoming registration deadlines and flag renewals in advance to avoid lapses or penalties. Manage lead compliance across assigned units, maintaining certification records and supporting documentation. Schedule and follow through on required lead inspections, clearance testing, and certification renewals, escalating any unit at risk of falling out of compliance. Log property violations and civil tickets as they are issued and track each one through to resolution. Coordinate the corrective work required to cure violations and confirm compliance with the issuing authority. Monitor violation deadlines, hearing dates, and payment due dates so nothing escalates for lack of follow-up. Assign and manage work orders to APMs across the assigned territory, following up to confirm timely completion and accurate documentation. Coordinate APM field activity including owner visits, posting notices, court attendance, apartment checkups, and leasing units. Maintain a compliance tracker/log for registration status, LAIC documentation, lead compliance, violations, utility activity, and APM work orders across the assigned territory. Collaborate with the AGM and Legal and Compliance Associate to resolve documentation gaps and compliance questions. Identify process gaps in documentation or tracking workflows and propose improvements to enhance accuracy and speed. Report regularly on compliance metrics, including LAIC signing status, utility coordination, registration completion rates, violation resolution, and APM work order throughput. Requirements Currently pursuing or recently completed a degree in a related field. Strong organizational and coordination skills with the ability to manage multiple recurring deadlines simultaneously. Detail-oriented mindset with a commitment to accuracy and consistency in documentation and record-keeping. Clear written and verbal communication skills, including comfort making outbound calls to utility providers, municipal offices, and property owners. Comfortable assigning work to field staff and following up to ensure it is completed on time and documented properly. Proficiency in Microsoft Office Suite / Google Workspace; ability to learn internal tracking and HRIS/property management tools. Ability to work independently, remotely, and collaboratively across departments. Basic understanding of, or willingness to learn, rental licensing, lead compliance, and municipal registration requirements.
