About the CLHA

The College of LPNs and HCAs of Alberta (CLHA) is a non-profit regulatory organization. The CLHA exists to protect Alberta healthcare users. Our first responsibility is to the public. We regulate the professions of Licensed Practical Nurses (LPNs) and Health Care Aides (HCAs), setting and maintaining standards to ensure the public receives safe, competent, and ethical healthcare services. Employment Term

This is a full-time permanent position. The position is eligible for hybrid work with a requirement to work in our Edmonton office on a regular basis. This posting may be used to fill future vacancies.

The Role

The Conduct Assistant plays an integral role in supporting the administration of professional conduct, complaint, and hearings processes. Reporting to the Director, Professional Conduct, this position provides administrative and operational support that helps ensure complaint files are managed efficiently, regulatory requirements are met, and all interested parties receive timely and professional service. The role also supports hearings administration activities and may assume responsibilities of the Hearings Director during absences or periods of increased operational demand. This role is ideal for a detail-oriented administrator who thrives in a fast-paced environment and is committed to accuracy, confidentiality, and exceptional client service.

Key Responsibilities

  • Complaint Process Administration - Provides comprehensive administrative and operational support to the Professional Conduct Department by coordinating complaint intake and file progression; facilitating communication among registrants, complainants, employers, regulators, investigators, and legal counsel; and ensuring timely and compliant correspondence throughout investigations and regulatory processes. The role also involves securely coordinating documentation and information, maintaining accurate and complete complaint records, monitoring compliance with regulatory decisions and practice permit conditions, coordinating external service providers, and supporting reporting and trend analysis, while ensuring confidentiality, data security, record integrity, and adherence to CLHA policies and legal requirements.
  • General Administrative Support - Provides timely, accurate, and professional responses to internal and external inquiries while supporting effective communication and service delivery and assumes the responsibilities and duties of the Hearings Director when required.

They demonstrate strong problem-solving, conflict resolution, and critical thinking abilities, enabling them to assess situations, exercise sound judgment, and make informed decisions when handling sensitive and confidential matters. The successful candidate can effectively manage multiple priorities and competing deadlines in a fast-paced environment while maintaining a high degree of accuracy and attention to detail.

This individual works well both independently and collaboratively, demonstrating accountability, professionalism, and a positive, solutions-oriented approach to their work. They possess strong time management and organizational skills, allowing them to adapt to changing priorities and timelines while consistently meeting deadlines. The ability to build and maintain productive relationships with colleagues, stakeholders, and external partners is essential, as is a commitment to providing excellent customer service. A high level of discretion, integrity, and confidentiality, combined with strong interpersonal skills and the ability to contribute to both individual and team goals, is critical to success in this role.

Experience

  • High school diploma required.
  • Post-secondary education in Office Administration, Business Administration, Legal Administration, or a related field is considered an asset.
  • Minimum one year of administrative experience preferred.
  • Experience working in a regulatory, legal, healthcare, compliance, or professional practice environment is considered an asset.
  • Intermediate proficiency in Microsoft Office is required, including strong proficiency and advanced working knowledge of Microsoft Word and Excel.

Other Qualifications

  • Must speak, read, and write English fluently.
  • May be required to travel provincially.
  • Satisfactory professional and criminal reference checks.
  • Must be legally entitled to work in Canada.
