Location: Remote (United States Only)

Department: Operations

About the Role

Allies4Outcomes is seeking a detail-oriented and highly organized Contract Manager to oversee and coordinate the contract lifecycle from initial client inquiry through contract execution and project handoff. This role serves as the central point of coordination between Program Leads, Operations, Finance, and Leadership to ensure contracts, proposals, and supporting documentation are managed accurately and efficiently.

The ideal candidate thrives in process-driven environments, enjoys managing multiple moving pieces, and has strong experience with documentation, workflow coordination, and stakeholder communication.

This position focuses on coordination and administration rather than contract negotiation or budget creation. Some assistance with scope review or development and initial project implementation coordination is likely.

Key Responsibilities

Contract & Administration Proposal

  • Manage contract workflow from inquiry through execution and project handoff.
  • Create and maintain contract tracking records and proposal documentation.
  • Establish and organize proposal and contract files using standardized systems.
  • Ensure all documentation is complete, accurate, and compliant with internal procedures.
  • Maintain version control and organized document repositories.

Proposal Development & Coordination

  • Draft and format proposals using approved templates and AI-assisted tools.
  • Integrate approved scope and budget information into proposal documents.
  • Coordinate internal review and approval processes.
  • Track revisions and incorporate feedback from stakeholders.
  • Prepare proposals for final approval and submission.

Client & Stakeholder Communications

  • Serve as the primary point of contact for proposal-related client communications.
  • Route questions and feedback to the appropriate internal stakeholders.
  • Coordinate discussions and decisions related to proposal revisions.
  • Communicate approved updates and contract information to clients.

Contract Execution

  • Draft contracts using approved templates.
  • Verify alignment between approved proposals and contract terms.
  • Coordinate contract review processes and required approvals.
  • Manage signature workflows and ensure completed agreements are properly filed.
  • Enter contract data into organizational dashboards and tracking systems.

Project Handoff Support

  • Prepare internal handoff documentation for project kickoff.
  • Coordinate with Program Leads and Project Coordinators to ensure readiness.
  • Provide complete and accurate project records for implementation teams.

Required Qualifications

  • Bachelor's degree in Business, Communications, Administration, or a related field, or equivalent professional experience.
  • 2–4+ years of experience in contract administration, contract management, or a closely related contract-focused role.
  • Strong organizational skills with exceptional attention to detail.
  • Experience managing structured workflows and documentation processes.
  • Excellent written communication skills.
  • Ability to prioritize multiple projects and deadlines simultaneously.
  • Experience working independently in a remote environment.
  • Proficiency with document management systems, shared drives, spreadsheets, and workflow tools.

Preferred Qualifications

  • Experience supporting proposal development or contract drafting.
  • Familiarity with consulting, nonprofit, government, or professional services environments.
  • Experience working within SOP-driven organizations.
  • Knowledge of contract management or project management best practices.
  • Comfortable collaborating across multiple departments and stakeholders.

Compensation & Schedule

Compensation: $32-$55 per hour, depending on experience and qualifications.

Schedule:

  • Part-time (20-25 hours per week)
  • Flexible scheduling during standard U.S. business hours
  • Fully remote

Eligibility

Applicants must reside in the United States and be authorized to work in the United States. This position is not eligible for visa sponsorship.
