We are seeking a highly organized and detail-oriented Contract Support Specialist to provide contract management and project administration support for a portfolio of engineering and infrastructure projects. This role will work closely with Project Managers, Operations Leaders, Finance, and clients to support contract execution, document control, project reporting, change management,and compliance activities throughout the project lifecycle as well as assisting with business development and marketing activities. This position will report directly to the California Area Manager. The ideal candidate will have experience supporting professional services contracts within an engineering, architecture, environmental, or infrastructure consulting environment. Key Responsibilities • Support the administration of client contracts, subconsultant agreements, purchase orders and amendments. • Maintain contract documentation, project records, and electronic filing systems. • Track contract milestones, deliverables, renewals, insurance requirements, and key deadlines. • Assist Project Managers with contract reviews, change orders, scope modifications, and project closeout documentation. • Coordinate contract routing, approvals, signatures, and execution processes. • Monitor project budgets, invoicing status, contract values, and funding limits. • Prepare project reports, status updates, meeting minutes, and action item logs. • Support project setup activities, including contract entry, project tracking, and documentation management. • Maintain contract and project databases to ensure accurate and current information. • Assist with compliance requirements, audits, and quality management processes. • Coordinate communication between project teams, clients, subcontractors, and internal stakeholders. • Coordinate with Project Service Coordinators (PSCs) assisting with preparation of draft project invoices and ensuring there is no duplication of their efforts. • Identify process improvement opportunities and support implementation of best practices for contract administration and project controls. • Support staff recruitment process assisting with the coordination of required contract staff roles, processing and tracking potential staff candidates and overall recruiting and hiring processes. • Support business development and marketing, assisting with tracking future opportunities, scheduling client visits, development of business development and marketing materials, and coordination of professional association conferences and events. • Assist with the preparation of business strategy documents including general preparation of presentation outlines, graphics and word processing. Required Qualifications • Associate's or Bachelor's degree in Business Administration, Project Management, Engineering Technology, Construction Management, or related field or the equivalent experience in contract and business operations support in lieu of education. • 3+ years of experience in contract administration, project coordination, project controls, or project support. • Experience supporting engineering, architecture, environmental, infrastructure projects or business line operating units. • Strong proficiency with Microsoft Office Suite, especially Excel, Word, and Outlook. • Excellent organizational, communication, and documentation skills. • Ability to manage multiple projects and competing priorities in a deadline-driven environment. • Strong attention to detail and commitment to accuracy. Preferred Qualifications • Experience with contract lifecycle management (CLM) systems, ERP systems, Deltek, Oracle, SAP, or similar project management platforms. • Understanding of professional services contracts, subconsultant agreements, and change management processes. • Familiarity with project accounting, invoicing, and budgeting practices within an engineering consulting environment. • Knowledge of municipal, transportation, water/wastewater, environmental, or infrastructure projects. Compensation & Pay Transparency At Egis, we believe transparency helps candidates make informed career decisions. As part of our commitment to an open and equitable hiring process, we've included the anticipated base salary range for this position below. Anticipated Base Salary Range: $110,000 – $140,000 annually. We're committed to making competitive offers that recognize the unique experience, expertise, and value each candidate brings to our team.
