What can you expect from this position?
Through a partner agency, reporting to the Associate Director, Corporate Marketing & Design, the Contractor, Marketing Coordinator keeps campaigns and marketing programs running on schedule, on budget and on brand. This role owns the day-to-day coordination that sits behind every deliverable: project intake and tracking, production and print management, vendor coordination, scheduling and reporting.
Working closely with the marketing, design and cross-functional teams, the Marketing Coordinator turns approved plans into managed workstreams. They maintain the project management system, chase inputs and approvals, route files to production, verify proofs, and make sure final assets land in the right channels with the right supporting information.
This role also supports performance reporting and social media operations, including content scheduling, tagging and taxonomy maintenance, and pulling campaign results into regular reporting. Success in the role looks like accurate timelines, clean handoffs, reliable numbers and nothing falling between teams.
As a Contractor, Marketing Coordinator, you will:
- Coordinate marketing projects end to end, from intake through delivery, ensuring timelines, budgets and approvals stay on track.
- Own and maintain the team's Monday.com boards, including project setup, status updates, deadlines, workload views and process improvements.
- Manage print production, including preparing and releasing files to print, reviewing proofs, confirming specs and finishes, and tracking delivery and installation.
- Coordinate with external vendors and suppliers to source quotes, issue and track purchase orders, monitor deliverables and resolve production issues.
- Support budget administration, including invoice processing, expense tracking and reconciliation against campaign budgets.
- Schedule, tag and publish social content, and maintain the tagging taxonomy so campaign reporting stays accurate over time.
- Pull and prepare performance data across social, digital and campaign channels for weekly, monthly and post-campaign reporting.
- Proof and quality-check marketing materials for accuracy, brand consistency and completeness before they go to production or publication.
- Route English and French copy through the established translation process and verify bilingual parity in final files.
- Maintain the marketing asset library, brand asset requests and shared documentation so materials stay current and accessible.
- Support meeting coordination, agendas, notes, action tracking and general team administration.
- Participate in project kick-offs to capture requirements, timelines and dependencies, and translate them into trackable plans.
This is the role for you, if you have:
- 1+ years of experience in marketing, communications, project coordination or a related field.
- A degree or diploma in marketing, communications, business or a similar discipline.
- Experience coordinating print production and working with print vendors, including specs, proofs and delivery timelines.
- Hands-on experience with a project management platform such as Monday.com, Asana or Smartsheet.
- Experience with a social media management platform such as Sprout Social or Hootsuite, including scheduling, tagging and reporting.
- Comfort working with performance data and building clear, accurate reports.
- Strong proficiency in Microsoft Excel, PowerPoint, Word or similar software programs.
- Familiarity with Adobe Creative Cloud file types and print-ready file requirements is an asset.
- Excellent communication and collaboration skills, with the ability to work effectively across teams, stakeholders and vendors.
- Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- A detail-oriented approach and a strong sense of ownership in your work.
- A solutions-oriented mindset with the ability to ask questions and flag risks early.
- Ability to obtain and retain a Transportation Security Clearance.
