Job Title: Coordinator, Business Development

Department: Business Development
Reports to: Assistant Director, Business Development
Who We Are:
For over 30 years, CAF America has been a leader in enabling cross-border giving validated charities and charitable projects across the world totaling more than $1 billion. We enable our donors to make strategic, cost-effective, and tax-advantaged gifts through our vetted network of more than 1.9 million charitable organizations in 135 countries, all while reducing the risk, reputation exposure, and administrative burden associated with cross-border giving.
At CAF America, we pride ourselves on creating a positive working environment and culture that values all team members’ experience and voices and represents the society we serve. We want to attract, retain, and develop the best of talent at all levels, and provide a leading and great place to work, where every voice matters.
Summary:
The Coordinator, Business Development plays a critical role in supporting day-to-day operations and service delivery for donor-advised funds and philanthropic accounts. Reporting to the Assistant Director, this role manages a portfolio of administrative activities across the fund lifecycle including contributions, validations, grant recommendations, and disbursements. The coordinator ensures smooth collaboration across internal departments, supports accurate recordkeeping and reporting, and serves as a key partner to Business Development Leads in delivering high-quality service to donors and charity partners.
This position requires exceptional attention to detail, strong organizational skills, and the ability to manage workflows across multiple teams and systems. The coordinator will proactively identify and address operational bottlenecks, uphold data integrity and compliance standards, and contribute to continuous improvement of processes and client service experiences.
Duties and Responsibilities:
  • Coordinate administrative activity for single gifts, new donor-advised funds, and grants, with a focus on accurate data entry, documentation, tracking, and timely completion.
  • Support contributions, validations, onboarding requirements, grant recommendations, disbursement-cycle additions, and grant-processing activities by coordinating with internal departments and ensuring required information is complete and accurate.
  • Track open tasks, deadlines, data updates, onboarding requirements, grant additions, and transaction pipelines, identifying missing information, bottlenecks, and outstanding items for follow-up. Partner closely with Relationship Managers to deliver seamless client service on assigned funds, ensuring smooth handoffs and coordination of donor requests.
  • Help move donor inquiries, single-gift opportunities, new fund onboarding, and grant-processing workflows from initiation through completion with clear documentation and accurate status tracking.
  • Provide administrative and operational support to the Business Development Specialist and broader Business Development team, including internal coordination, data tracking, task follow-up, and preparation for donor, advisor, and prospect engagement.
  • Coordinate internal handoffs, information requests, and documentation so the Specialist and relationship leads can manage external communications and relationship-sensitive follow-up.
  • Maintain accurate, up-to-date records in CRM, grants management, finance, and related systems, ensuring consistent coding, status updates, and supporting documentation.
  • Support data audits, pipeline reporting, disbursement-cycle tracking, and documentation for high volumes of donor opportunities, single gifts, grants, and new fund activity.
  • Review contribution, grant, disbursement-cycle, onboarding, and donor-transaction documentation before and after processing to support accuracy, consistency, and compliance with internal standards.
  • Prepare standard activity confirmations, onboarding materials, status updates, and follow-up communications using approved templates and verified system data.
  • Respond to routine administrative inquiries as appropriate and escalate donor-facing, complex, or relationship-sensitive matters to the Business Development Specialist or appropriate relationship lead.
  • Identify opportunities to improve tracking, documentation, audit readiness, grant-processing workflows, onboarding coordination, and administrative efficiency.

Qualifications:

  • Must be eligible to work legally in the United States
  • Associate's degree or equivalent combination of education, training, and experience. 2-4 years of experience in nonprofit operations, grants administration, finance or data operations, client service support, donor services, CRM/data management, or a related administrative support role.
  • Strong organizational, critical-thinking, administrative coordination, and written communication skills.
  • Highly detail-oriented, with a strong commitment to accuracy, follow-through, and responsive internal support.
  • Comfortable working with high-volume, detail-heavy grant, contribution, and transaction data while maintaining accuracy under deadlines.
  • Able to manage multiple priorities, follow established processes, and work collaboratively across teams.
  • Proficiency with CRM systems, Microsoft Office, and basic reporting or tracking tools.
