Overview:
The Credentials and Balloting Lead is responsible for ensuring the integrity and accuracy of credentialing and voting procedures during all general and special meetings of the Spokane County Democrats (SCD) and the bi-annual County Convention. This role plays a critical part in verifying member eligibility, maintaining accurate records, and overseeing the preparation and execution of all ballots and voting processes.
Key Responsibilities:
Certification and Credentialing:
Prepare digital or physical attendance sheets of all elected, appointed, and acting Precinct Committee Officers (PCOs), as well as Members by Certification before all PCO meetings and conventions.
Certify PCOs, their proxies, and all other voting members at general and special meetings and conventions.
Review appointment records of Voting Members in preparation for future meetings.
Ensure all credentialing complies with SCD bylaws, State Party bylaws, and Washington State Law.
Records Maintenance:
Maintain and update accurate records of elected, appointed, and acting PCOs.
Track members certified under organizational bylaws.
Enter all new PCOs and members into the database promptly and accurately.
Ensure submissions meet proper criteria and are received through appropriate channels.
Track meeting attendance of all PCOs and Members by Certification.
Balloting and Voting Oversight:
Prepare ballots and voting materials for meetings and conventions.
Coordinate the balloting process, ensuring it is fair, transparent, and in accordance with procedural rules.
Supervise the conduct of voting and assist in resolving any credentialing or voting disputes.
These qualities and skills will be helpful:
Strong attention to detail and organizational skills.
Familiarity with SCD bylaws and procedures, or willingness to learn
Comfort with digital databases, data entry, and managing confidential information
Ability to remain neutral, fair, and objective during certification and voting processes
Reliable availability during scheduled meetings and conventions
Additional Information:
Time commitment: approximately 2-3 hours per month, except before and after PCO meetings (approximately four to five times per year)
May require physical activity such as lifting, carrying materials, and setting up/breaking down meeting spaces.
