Our client is one of the world’s largest producers of fresh food, with a portfolio of well-established brands and operations across international markets.
The business operates an international shipping fleet supporting its global supply chain and distribution activities.
The Opportunity
The Crewing Superintendent will be responsible for the operational and administrative crewing requirements of an international fleet of commercial vessels.
The role will work closely with vessel management, onboard senior officers, external manning agencies and shore-based teams to ensure vessels are appropriately manned and crew requirements are managed in line with operational schedules and applicable maritime regulations.
The position requires strong practical crewing experience combined with sound knowledge of MLC, STCW, ISM and seafarer certification requirements. The successful candidate will be expected to manage crew planning and rotations, crew changes, documentation and certification, manning agency coordination and the financial administration associated with crew accounts and allotments.
The role is primarily office based, with a minimum requirement of four days per week in the office. Some availability outside normal working hours and at weekends will be required when urgent crewing requirements arise.
Responsibilities
Crewing and Personnel Management
- Manage the operational crewing requirements of an allocated fleet of commercial vessels.
- Coordinate crew planning, rotations and crew changes to ensure vessels remain appropriately manned.
- Manage seafarer availability, joining arrangements and repatriation.
- Coordinate with vessel management in the selection and appointment of Masters, Senior Officers, Junior Officers and Ratings.
- Ensure crew documentation, certificates, licences, medical certification, visas and employment documentation are valid and maintained appropriately.
- Monitor safe manning requirements and ensure crewing arrangements comply with applicable regulations.
- Liaise with vessel management and onboard senior officers regarding crew requirements and personnel matters.
- Coordinate with external manning agencies regarding crew availability, selection, documentation and deployment.
- Maintain accurate crew records and ensure relevant crewing systems and databases are kept up to date.
- Support the management of crew performance, disciplinary and welfare matters where required.
- Maintain effective working relationships with seafarers, vessels and external manning agencies.
Crew Changes and Vessel Coordination
- Plan and coordinate crew changes around vessel movements, port calls and operational schedules.
- Arrange and coordinate travel, flights, visas and other requirements associated with crew joining and repatriation.
- Track flight schedules for on-signing and off-signing crew in coordination with manning agents.
- Ensure seafarers have the required certification, medical documentation, immigration documentation and other required joining documents before joining vessels.
- Coordinate crew changes across international ports and liaise with relevant agencies and service providers.
- Manage last-minute crew changes, travel disruption, crew availability issues and other urgent operational requirements.
- Maintain effective communication between vessels, shore management and manning agencies throughout the crew change process.
Crew Accounts and Administration
- Maintain crew accounts and approve or authorise allotments and MPOs as required.
- Assist with the preparation and management of the crewing budget.
- Maintain appropriate crew records relating to personal injuries and insurance matters.
- Manage crewing-related vendor payments and associated records.
Candidate Requirements
- Minimum two years’ experience in maritime crewing matters, ideally combined with previous sea-going experience as a Junior Officer.
- Strong practical experience across crew planning, rotations, crew changes, manning requirements and seafarer administration.
- Experience managing the crewing requirements of multiple vessels and the ability to take independent ownership of an allocated fleet.
- Strong working knowledge of MLC, STCW, ISM, seafarer certification, flag-state and safe-manning requirements.
- Experience coordinating seafarer documentation, certificates, medicals, visas, employment agreements, joining documentation and travel requirements.
- Experience working with external manning agencies and multinational seafarer populations.
- Experience with crew accounts, allotments, crewing budgets and associated financial administration would be advantageous.
- Container vessel experience is preferred, with reefer vessel experience also highly relevant. Experience across other internationally trading commercial vessel types will also be considered.
- Previous sea-going experience, particularly as a Junior Deck or Engineer Officer, would be a significant advantage but is not essential.
- An appropriate marine licence or Certificate of Competency would be advantageous for candidates with previous sea-going experience but is not required for experienced shore-based crewing professionals.
- Additional qualifications in Crewing or Marine Personnel Management would be advantageous but are not required.
- Strong organisational and communication skills, with the ability to manage crewing requirements across multiple vessels.
- Comfortable working with multinational crews and communicating across different countries, cultures and time zones.
- Able to respond effectively to changing priorities and urgent operational requirements.
- Comfortable being contactable outside normal working hours and at weekends when required.
- Able to work from the Dublin office a minimum of four days per week.
