We're looking for a CRM & Email Marketing Specialist to own the email journeys that connect those audiences with our events. From the first touchpoint with a new lead to a ticket confirmation and post-event follow-up, you'll make sure every message reaches the right person, at the right time, with a clear purpose, and that our email programme turns interest into registrations.
Responsibilities
Strategy and Planning
- Own the planning, building, testing and sending of all company emails in HubSpot, including campaigns, newsletters, ticket communications, operational updates, side-event invitations and automated workflows.
- Develop and maintain a shared email calendar aligned with event timelines and business goals, so every team can see what is scheduled and who owns it.
- Set clear goals for each campaign, including opens, clicks, lead capture, conversions and revenue, and track progress against them.
Lead Generation and Conversion
- Build lead-capture and nurture journeys that move contacts from first interest to ticket purchase, including welcome sequences, abandoned registration follow-ups, upgrade campaigns and re-engagement flows.
- Work with the growth and content teams to connect landing pages, forms and lead magnets to CRM workflows.
- Coordinate with sales and partnerships on lead handover, so qualified prospects are followed up quickly and consistently.
Segmentation and Personalisation
- Build and maintain audience segments for founders, investors, healthcare executives, sponsors, speakers and past attendees, based on behaviour, demographics and purchase history.
- Use dynamic content and personalisation to make every send more relevant and engaging.
Copy and Design
- Write concise, action-oriented email copy with clear calls to action.
- Work with designers on responsive, mobile-friendly templates that follow brand, design and compliance standards.
Automation and QA
- Map, build and test every automated touchpoint across the attendee lifecycle, optimising triggers, timing and exit rules for a smooth experience.
- Check lists, consent, personalisation, links, formatting and logic before anything goes live.
- Maintain a structured QA log and testing checklist to track issues and fixes.
- Work with IT to test and monitor automated ticketing emails.
HubSpot and CRM Management
- Lead the migration of all email communications into HubSpot and keep the platform well-structured, with clean data, clear naming and documented workflows.
- Review our tools and processes, and propose improvements or alternatives where they would help centralise and simplify our email operations.
Compliance and Deliverability
- Ensure all emails comply with GDPR, CAN-SPAM and wider data protection requirements.
- Maintain list hygiene and monitor sender reputation and deliverability.
Analytics and Reporting
- Track and report on deliverability, opens, clicks, conversions, upgrades and revenue outcomes.
- Run A/B tests and turn results into practical recommendations that improve performance.
Cross-Channel Collaboration
- Align email with social media, paid media and content marketing so audiences experience consistent messaging across every channel.
- Work with the marketing, sales, partnerships and event teams to agree ownership of each communication and avoid conflicting or duplicate sends.
About You
You have hands-on experience with email marketing and CRM platforms, ideally HubSpot. You know how to build segments and workflows, write emails that convert and check the details that can make or break a send.
You are organised enough to manage communications across several events and teams, and curious enough to investigate why a campaign underperformed. You understand consent and deliverability, communicate clearly in English and can turn campaign data into practical improvements.
Experience in events, MedTech, HealthTech or B2B marketing is welcome, but not essential.
Ideally, you will have:
- 2 to 4 years of experience in CRM, email marketing or marketing automation, ideally in events, B2B or subscription-based businesses.
- Hands-on experience with HubSpot or a similar CRM and marketing automation platform, including list management, segmentation, workflows and lifecycle stages.
- Proven track record of building lead generation and nurture campaigns that move contacts from first interest to registration or purchase.
- Strong understanding of conversion metrics such as open, click-through, lead-to-registration and upgrade rates, with the ability to use them to improve performance.
- Experience running A/B tests on subject lines, content, send times and calls to action, and turning results into clear recommendations.
- Solid knowledge of email deliverability, list hygiene, data quality, GDPR and CAN-SPAM compliance.
- Comfortable with reporting and attribution, including building dashboards that show which campaigns drive leads, registrations and revenue.
- Experience with lead capture tools such as landing pages, forms and lead magnets, and with integrating them into CRM workflows.
- A methodical approach to QA, with strong attention to detail and the ability to manage multiple campaigns across different events and time zones.
- Excellent written English, with the ability to write clear, persuasive copy for different audiences.
- Experience with a CRM or email platform migration is a strong advantage.
- Basic HTML/CSS knowledge for email templates is an advantage.
The Person
This role would suit someone who is analytical, highly organised and motivated by measurable results. You should enjoy working with data, understanding audience behaviour and using CRM and email marketing to turn contacts into engaged members of the MedTech World community.
We’re looking for a proactive self-starter who takes ownership of campaigns from segmentation and setup through to testing, delivery and performance analysis. You should be comfortable working with CRM platforms, email automation, workflows, audience segmentation and large contact databases, with strong attention to detail and an understanding of how small improvements can have a significant impact on engagement and conversion.
You should be curious about what drives performance — constantly testing subject lines, messaging, audiences, timing and journeys rather than simply sending campaigns. Strong organisation is essential, as you’ll be managing multiple campaigns and databases across our international events simultaneously.
You’ll be comfortable working within an international and predominantly remote team, communicating proactively and collaborating closely with marketing, sales, partnerships and event teams to ensure the right message reaches the right audience at the right time.

What Success Looks Like
Attendees receive accurate, relevant communications throughout their journey, and new prospects are captured, nurtured and converted into registrations. Teams can see what is scheduled and who owns it. All email communications run through a well-organised HubSpot setup, campaigns launch with reliable lists and tested workflows, and ticketing emails work every time. Reporting shows which messages drive leads, conversions, upgrades and revenue. You will help build an email programme that grows our audience and revenue across MedTech World events in Europe, North America, the Middle East and Asia.
