Customer Preference Records Assistant

Office Administration — Customer Preferences

Remote | Full-time or part-time | 25.75–27.50 per hour

A customer's communication choice should follow their record.

The Customer Preference Records Assistant maintains preference fields in an online customer system. When a person asks for email rather than phone, changes a language preference, or updates another permitted contact setting, you will enter the request according to the employer's procedure and make the source clear. This is a remote records position with an important customer service consequence: later messages should reflect what the person actually requested.

Before making a change

Read the original request and check that it belongs to the correct record. Some preferences affect only one type of notice; others may apply more broadly. Use the available field that matches the instruction rather than changing every setting because it seems convenient. If the customer asks to stop a particular kind of communication, follow the employer's consent and opt-out process exactly. When a request is ambiguous, ask for clarification or refer it to the approved team. Do not invent a preference based on a single unanswered message.

The role may include reviewing a batch of updates after another team has collected them. You would compare each entry with its source, correct permitted errors, and flag anything that cannot be verified. A short note can explain why a field was updated and prevent another employee from reversing a deliberate choice. This is careful office administration, not a role that creates marketing policy or decides what notices the organization is legally required to send.

A customer might request email notices for one service while retaining postal delivery for another. Read the instruction closely enough to update only the relevant setting. Where a message could be interpreted as a broad opt-out, ask for clarification under the employer's process instead of changing every channel. Record the source and date of a confirmed preference so another colleague can understand it later. The position calls for careful online recordkeeping and courteous customer service, with training on the specific preference categories.

What you would do

  • Review assigned preference requests through a web-based queue.
  • Match each request to the correct customer record using approved steps.
  • Update permitted communication fields and preserve the source.
  • Check that an opt-out or consent status is not overwritten casually.
  • Ask or refer when a customer's wording does not map clearly to a field.
  • Flag duplicate or conflicting records for a qualified reviewer.
  • Note completed changes for teams that rely on the information.

No special database certification is required. Experience in customer service, office administration, data entry, or online forms can help, but the company will train someone new. You should be able to compare details accurately, navigate a browser-based system, and understand why a small field can have a large effect on the next interaction. When unsure, pause rather than treating an assumption as a customer instruction.

The position is remote. A private home office or similarly suitable environment is needed for customer records. Equipment and system training will be discussed with the employer.

When a preference needs clarification

  • A customer says “no calls” but the system has several phone categories.
  • An email address is changed at the same time as an opt-out request.
  • Two accounts appear to have different settings for the same person.
  • A message asks for information to go to someone else.
  • A customer wants a one-time exception rather than a permanent change.
  • A required notice is involved and the available setting is unclear.

In each situation, protect the source request and use the employer's escalation route. The goal is an accurate record of the customer's instruction. It is better to leave one uncertain field pending than to set a broad preference that the person did not request.

Your next step

Show a relevant example of handling someone's instructions accurately, whether in employment, study, or volunteer work. Good written notes and attention to privacy are useful here. Applicants with little direct experience are encouraged to apply. If invited to continue, you may need to complete the employer’s application on its website. The employer can explain its preference fields and approval rules during selection.
