Job Summary

We are seeking a detail-oriented and analytical CRM and Data Operations Specialist to manage, maintain, research, and improve our CRM data and marketing databases. This is a hands-on role focused on data mining, data research, data cleanup, enrichment, CRM management, and marketing automation.

The ideal candidate will be responsible for finding and validating information, correcting and enriching existing records, identifying missing or inaccurate data, maintaining data quality, and executing CRM-related actions. The role requires strong attention to detail, curiosity, and the ability to independently investigate data and determine the best way to maintain accurate and usable CRM records.

Key Responsibilities

• Mine, research, collect, and validate business and contact information from various sources to build and enrich CRM databases.
• Review existing CRM data to identify missing, outdated, inaccurate, incomplete, or duplicate records and make the necessary corrections.
• Maintain accurate contact, company, lead, deal, and account information, including properties, associations, lifecycle stages, lists, and other CRM fields.
• Perform CRM imports, exports, data migrations, bulk updates, field mapping, data formatting, and import quality checks.
• Manage CRM actions such as creating and updating records, importing lists, managing segments, assigning properties, updating lifecycle stages, and maintaining associations.
• Support marketing automation activities, including workflows, forms, email campaigns, sequences, lists, and other CRM-related processes.
• Research companies and contacts to identify relevant information such as company details, decision-makers, job titles, websites, industry, employee count, and other required data points.
• Identify and resolve data quality issues, duplicate records, incorrect associations, missing information, broken workflows, reporting issues, and other CRM problems.
• Build and maintain reports, dashboards, lists, and data views to support sales, marketing, and operations teams.
• Identify opportunities to improve CRM processes, reduce manual work, improve data accuracy, and automate repetitive tasks.
• Document CRM processes, data rules, and recurring procedures to maintain consistency across the team.
• Work with sales, marketing, and operations teams to understand their data requirements and ensure the CRM supports their needs.

Skills and Experience

• Strong hands-on experience with CRM systems, preferably HubSpot CRM and HubSpot Marketing Hub.
• Experience with data mining, online research, data enrichment, and information gathering.
• Strong understanding of CRM data structures, including contacts, companies, deals, leads, properties, associations, lists, and lifecycle stages.
• Strong data management skills, including spreadsheet cleanup, CSV formatting, data validation, field mapping, deduplication, and import QA.
• Experience managing CRM lists, segments, forms, marketing emails, workflows, sequences, dashboards, and reports.
• Ability to research and verify information from multiple sources and determine whether data is accurate and relevant.
• Strong attention to detail with the ability to identify small inconsistencies and data quality issues.
• Ability to troubleshoot CRM, reporting, workflow, and data-related issues independently.
• Strong Excel and Google Sheets skills.
