Customer Service Representative
EzoBordAt EzoBord, we design and manufacture high-performance acoustic solutions trusted by architects, designers, and commercial projects around the world.
We are looking for a proactive, customer-focused, and sales-driven Customer Service professional who can build strong client relationships and turn every interaction into a business opportunity.
This is a temporary position to cover an employee who is currently on medical leave.
The position is fully remote, Monday to Friday, and requires availability according to Toronto working hours and statutory holidays.
This is a key role supporting our clients and internal teams across North America. You will be responsible for managing the full customer journey - from first inquiry to final delivery - ensuring excellent service, accurate quotations, and continuous follow-up on every project.
We are seeking someone who is highly active with clients, understands how to identify sales opportunities, and is able to guide each project step-by-step through outstanding communication, quoting, sales, and follow-up.
· Respond to client inquiries via email, phone, and website, providing information, promoting our products, actively selling our solutions via email and phone, quoting projects, and closing sales to deliver a complete customer service experience.
· Promptly respond to customer communications by email, website, and telephone.
· Manage customer quotation requests with our estimating team.
· Coordinate quotations using pricing tools, including formulas, margins, and discounts.
· Maintain sufficient product knowledge to respond accurately to customer inquiries.
· Use Company systems, including Business Central and ClickUp.
· Process customer orders and maintain accurate records of customer inquiries and orders.
· Coordinate customer approval of shop drawings.
· Manage order confirmations, order acknowledgements, deposits, invoices, balance-payment requirements, and shipment updates.
· Coordinate regularly with Sales, Production, Logistics, Engineering, Marketing, and Finance.
· Collaborate daily with our international team in Canada and the US.
· Monitor customer accounts and follow up on overdue payments, payment irregularities, and account issues.
· Provide customers with timely shipment-status updates.
· Maintain complete and organized customer and individual order files.
· Handle customer complaints and work with colleagues to resolve them.
· Process and track customer sample requests.
· Provide administrative support for CEUs, Material Bank, and other assigned Marketing activities.
· Participate in production, customer service, and other internal meetings as required.
· Respond to time-sensitive customer and internal requests.
· Maintain regular communication with the General Manager and other team members regarding priorities, outstanding issues, and assigned tasks.
· Maintain availability and responsiveness throughout regular working hours.
· Maintain a professional, organized, and client-focused approach while managing multiple projects simultaneously.
· 3+ years of Customer Service/Sales experience
· Advanced English - spoken and written
· Highly organized, efficient, and proactive
· Enthusiasm and a dynamic approach to offering and selling our products while building long-term client relationships
· Advanced Excel and strong mathematical skills are mandatory
· Comfortable managing multiple tasks and communicating across departments
