Position Overview

We are seeking a friendly, organized, and detail-oriented Customer Support Specialist Administrator to join our remote team. This entry-level position combines customer support with administrative coordination, account maintenance, data entry, request management, and document processing.

The ideal candidate communicates clearly, enjoys helping customers, stays organized, and is comfortable using computers, email, chat, spreadsheets, and online business systems.

Previous professional experience is not required. Training and ongoing guidance will be provided. Recent graduates, career changers, individuals returning to the workforce, and candidates seeking their first remote professional position are encouraged to apply.

Key Responsibilities

Customer Support

  • Respond to customer questions and requests professionally.
  • Assist with routine account, order, product, and service inquiries.
  • Provide accurate information using approved company resources.
  • Guide customers through standard processes and next steps.
  • Resolve routine concerns within established procedures.
  • Follow up on pending customer requests when required.
  • Escalate complex or unresolved issues appropriately.

Administrative Support

  • Prepare and update spreadsheets, forms, lists, and trackers.
  • Process routine administrative requests.
  • Maintain internal logs, contact lists, and shared records.
  • Organize digital folders and administrative resources.

  • Route documents and information to appropriate departments.

Customer Records & Data Entry

  • Enter and update customer information in company systems.
  • Maintain accurate customer profiles and account records.
  • Document customer interactions and completed actions.
  • Review information for accuracy and completeness.
  • Process authorized account updates.
  • Identify missing, duplicate, outdated, or inconsistent information.
  • Make routine corrections when authorized.
  • Protect confidential customer information.

Ticket & Request Management

  • Create and update customer support tickets.
  • Categorize incoming requests appropriately.
  • Maintain clear and accurate case notes.
  • Track open and pending requests.
  • Update ticket status as work progresses.
  • Monitor deadlines and follow-up requirements.
  • Escalate cases requiring specialized assistance.
  • Close completed requests according to established procedures.

Account & Document Support

  • Assist with routine account maintenance.
  • Verify customer information before authorized changes.
  • Upload, label, categorize, and organize digital documents.
  • Review routine forms for completeness.
  • Maintain electronic customer records.
  • Follow established file-naming and storage procedures.
  • Retrieve authorized documentation when requested.
  • Maintain basic processing and tracking logs.

Quality & Accuracy

  • Review completed work for accuracy.
  • Compare information with approved source records.
  • Identify incomplete or inconsistent information.
  • Correct routine errors when authorized.
  • Report unresolved discrepancies.
  • Follow established quality-control procedures.
  • Help maintain accurate customer and administrative records.

Remote Team Collaboration

  • Communicate professionally through email, chat, and virtual meetings.
  • Coordinate customer requests with other departments.
  • Provide updates on pending or unresolved cases.
  • Request clarification when instructions are incomplete.
  • Participate in virtual meetings, coaching, and training.
  • Maintain dependable communication during scheduled work hours.
