🎯 Role Overview

As Deputy Resort Manager, you will support the Resort Manager, working closely with the Deputy Regional Director to coordinate local operations and teams. Your main responsibility will be to ensure the smooth running of guest stays while optimising property management and supporting the administrative tasks associated with the business.

You will play a key role in day-to-day operations, seasonal preparation and the coordination of on-site teams. This position involves a wide range of responsibilities, including a significant amount of administrative work, particularly during the low season. A high degree of autonomy and the ability to prioritise tasks effectively are essential to succeed in this role.

✨ Key Responsibilities

Operational and Administrative Support

  • Coordinate and supervise local teams (concierges, runners, representatives, etc.) to ensure the highest standards of service.

  • Ensure the quality and compliance of villas before and throughout the season.

  • Deliver an exceptional guest experience in line with Le Collectionist's standards.

  • Manage schedules and staffing requirements across the area.

  • Handle administrative tasks and payment management, particularly in support of the Pre-Arrival Concierge team.

  • Document observations regarding property conditions following guest stays and follow up on any necessary repairs.

  • Support the team with invoicing and payment collection for concierge services.

Property Portfolio Optimisation and Management

  • Work alongside the Resort Manager to improve property activation and maximise portfolio performance.

  • Keep property information up to date, including photographs, descriptions, amenities and owner contracts.

  • Monitor villa performance indicators and flag any issues when necessary.

  • Take part in property audits to ensure compliance with company standards.

Owner and Supplier Relationship Management

  • Ensure follow-up on owners' requests to update information relating to their properties.

  • Act as the main point of contact for owners regarding the management and follow-up of guest stays throughout the season.

  • Build and maintain trusted relationships with local service providers to ensure the quality of services delivered.

  • Assist in resolving any disputes arising from guest stays or owner requests.

⚠️ Working Hours and Role Specifics

  • The role involves working primarily at weekends during the season, with shifts organised on a rotational basis within the team.

  • Availability is required during peak season to respond to on-site operational needs.

  • A high degree of flexibility is expected during peak season, particularly when dealing with unexpected situations relating to guest stays.

  • During the low season, the role involves a greater focus on administrative tasks and property follow-up.

  • Overtime hours are compensated through time off in lieu, depending on workload.

Ideal Profile 🔍

  • Excellent organisational skills and the ability to manage multiple projects simultaneously.

  • Strong interpersonal skills and the ability to adapt to a wide range of stakeholders, including owners, service providers and guests.

  • A strong team spirit and natural leadership skills, with the ability to support and supervise local teams.

  • A strong service mindset and attention to detail, together with the ability to handle sensitive situations diplomatically.

  • Strong administrative skills and confidence using management tools such as CRMs and invoicing software.

  • Flexibility and availability to accommodate peak-season workloads.

  • Experience in villa management or operations within the luxury and/or hospitality sector.
