Overview
Provides high-level administrative support to the Alumni Engagement & Development team at Yale Divinity School. The Development Coordinator provides administrative and production support for the Annual Fund, alumni engagement, stewardship communications, gift administration, and daily office operations. The coordinator supports solicitations and mailings, alumni and volunteer activities, Convocation and other events, acknowledgement processes, office purchasing and expenses, and constituent inquiries.
- Manages all gift processing, adjustments, acknowledgement and honor/memorial processes for all partners on the Divinity School Quad
- Supports gift reconciliation by researching discrepancies, compiling documentation, and processing corrections or adjustments
- Maintains biographical, attribute and event updates in Yale’s CRM
- Provides administrative support for Alumni Board activities and events
- Provides administrative support for alumni, friends, and student events both on campus and regionally
- Supports the production and execution of Annual Fund solicitations, including reviewing and routing mailing lists, monitoring production schedules, coordinating text and design edits with Central Development, facilitating approvals, maintaining project documentation, and confirming completion of scheduled mail and email activity.
- Facilitate postal and electronic mailings for office (class mailings, reunion appeals, monthly e-newsletters distribution lists)
- Provides administrative and production support for recurring stewardship communications, including scholarship letters, student thank-you notes, and seasonal mailings; prepares materials, coordinates signatures, and supports student participation in assembly and mailing projects.
- Supports Convocation logistics, including facilities requests, name tags, signage, supplies, ribbons, and student-event staffing.
- Manages office supplies, invoices, vendor set up, and department expense processing
- Coordinate travel arrangements for Alumni Engagement and Annual Fund staff
- Provides regular updates to the Alumni & Giving websites, creates new online giving links as needed
- Recruit, train & supervise student office and event staff
- Cross trains with colleagues to cover essential office processes including mini briefings, Hopper reporting and gift tracking
- Identify opportunities for AI use and help develop, test, document, implement, and maintain AI-assisted workflows and agents that improve team operations
- Be an active and engaged member of the YDS community activities, assisting in programming execution as helpful to colleagues and support YDS priorities
- May perform other duties as assigned.
Required Skills and Abilities
1. 3+ years of related work experience.
2. Excellent interpersonal skills, including the ability to interact with donors, alumni, students, faculty, and staff.
3. Comfort with managing collaborative projects with short deadlines.
4. Advanced spreadsheet applications.
5. Familiarity with data analysis.
Preferred Skills and Abilities
1. Experience with Microsoft Office applications
2. Knowledge of university fundraising (Blackbaud/Hopper) and financial systems (Workday), strongly preferred
3. Close attention to detail
4. Expert communication skills, in particular oral, writing, editing, and proofreading.
Principal Responsibilities
1. Drafts a variety of written materials, including detailed individual prospect briefings and endowed gift agreement, proposals in support of specific University initiatives and internal and external correspondence that conforms to the style and voice of the sender. 2. Coordinates research on individual donors and the history and status of gift commitments as needed by gift officers and other University officials. Ensures the accuracy of gift acknowledgments and all information communicated to donors and prospects. 3. Prepares reports on prospect pools summarizing giving, status, affiliation and other data points, as needed. 4. Assists in the coordination of special events, including dedications, donor recognition events and celebration of special initiatives to ensure timely and successful completion of the proceedings. 5. Designs and produces ad hoc reports based on data extracted from primary databases to support fund raising programs. 6. Oversees stewardship functions to ensure that donors receive ongoing communication regarding the benefits of their gifts to Yale. 7. Supports fundraising directors and gift officers in a range of additional activities related to the University’s development effort, as needed. 8. May perform other duties as assigned.
Required Education and Experience
Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.
