(Role Focus: Chief Operating Officer / EOS Integrator)

This is an implementation-heavy, high-velocity operational role. We are looking for a relentless execution engine—a P&L owner who loves turning vision into immediate operational reality, actively finding production bottlenecks, accelerating file velocity, and unblocking revenue earners with maniacal urgency.


MISSION / PURPOSE OF THE ROLE


To take the existing growth strategies, quarterly Rocks/goals, and operational directives directly from the Co-Founders (Richard & Brenda) and relentlessly drive them to 100% completion across all five firm departments (Operations, Marketing, Tech, HR, and Finance). This is not an executive strategy role; this is the firm’s primary execution engine. You are the ultimate "Doer" responsible and accountable for turning visionary ideas into operational reality, driving production throughput, and owning P&L performance.


TOP 3 OUTCOMES REQUIRED FOR SUCCESS (THE KPIs)

  1. Project Completion Velocity (90%+): Maintain a rolling 90% or greater on-time completion rate for all weekly deliverables, file milestones, and project goals assigned during Monday/Wednesday/Friday alignment check-ins. One of your superpowers is a maniacal sense of urgency.
  2. Find & Eliminate Firm Bottlenecks (Drive File Velocity): Act as the operational friction-remover. Audit case workflows to reduce average "time on desk," unblock revenue earners, and proactively resolve vendor, tech, or staffing bottlenecks before they stall out the firm's growth. You know how to locate limitations/constraints in a business and destroy them.
  3. 100% Process Adherence & P&L Discipline: Maintain absolute administrative discipline. Update and deliver the firm’s weekly 1-page execution plan every Sunday evening without exception. Monitor department P&L targets, staff utilization, and overhead to continuously improve net margins and accelerate cash flow.


CRITICAL REQUIREMENT: VERIFIABLE SCALING & P&L TRACK RECORD

You must have demonstrable past experience scaling professional services production and managing P&L accountability in a professional services environment (law firm experience highly preferred). We will conduct rigorous reference checks focusing specifically on your history of driving production efficiency and operational expansion.


Candidates must be prepared to provide at least 2 strong professional references (e.g., Founders, Managing Partners, or C-Suite Executives) who can directly verify:

  1. Your ability to streamline operational delivery, shorten project/file cycle times, and increase fee-earner productivity.
  2. Your direct accountability for financial performance, budget management, or P&L outcomes.
  3. Your hands-on execution style, resilience under pressure, and ability to hold cross-functional teams accountable to strict performance metrics.


JOB DESCRIPTION & RESPONSIBILITIES ACROSS THE 5 DEPARTMENTS


🛠️ Case Production & Operations

  • Audit, map, and optimize the entire case lifecycle from retainer to final settlement/judgment, aggressively stripping out friction and delays.
  • Establish and enforce strict SLAs for key operational milestones (e.g., pleadings, discovery, medical records retrieval, expert report completion, settlement demands).
  • Drive down average "time on desk" across all legal files, ensuring cases move continuously toward resolution without sitting dormant.


💻 Technology & Systems Integration

  • Act as the primary internal point of contact for external tech vendors, software platforms, and tech modernization initiatives
  • Apply the 5-step production algorithm: Question Delete Simplify/Optimize Accelerate Automate across all operational processes.
  • Ensure data flows seamlessly between core platforms without requiring the founders to troubleshoot integrations.
  • Source, evaluate, and recommend top tech tools, including AI/Claude frameworks.


👥 HR, Onboarding & Capacity Management

  • Unblock lawyers and key fee earners by optimizing support team allocation (law clerks, legal assistants, records teams), ensuring legal support teams are actively unblocking senior lawyers.
  • Build out and rigorously execute standardized onboarding checklists so new hires experience a structured, professional introduction to the firm.
  • Track staff task metrics and keep internal communications (like the internal firm newsletter) strictly on schedule.


📈 Marketing Execution & Intake Alignment

  • Coordinate with external marketing agencies and vendors to ensure ad campaigns, landing pages, and lead-generation assets are delivered on time.
  • Track core marketing metrics weekly to ensure zero dropped leads and a seamless handoff to case production.


📊 Finance Operations & P&L Management

  • Own and manage operational budget performance and department P&L targets alongside the Founders.
  • Interface directly with accounting/bookkeeping to extract specific data models and ensure financial reports are pulled on schedule.
  • Streamline the financial handoff between case resolution, trust accounting, disbursements, and revenue collection to accelerate cash flow velocity.

  • Proven ability to identify and eliminate operational bottlenecks, shorten cycle times, and scale service delivery.
  • Experience working with business operating systems such as Scaling Up or EOS is a major asset.
