Salary Range: $98,000.00 To $118,000.00 Annually Job Summary: The Director of Operations role directly supports the Executive Director of the Physician Associate Foundation in managing the organization's day-to-day operations. This role will work closely and collaboratively with the Executive Director to develop and implement strategic initiatives that support key fundraising activities, oversee scholarship and award program management, support the PAF board of trustees and volunteer activities, monitors financial and program performance, and help build and maintain stakeholder relationships in alignment with the Foundation's mission and vision. Key Responsibilities: Day-to-Day Operations Leads the day-to-day operations of the Foundation in close collaboration with PAF’s Executive Director. Works closely with the Executive Director to develop, implement, and evaluate new strategic programs and initiatives that drive fundraising, growth, and advance PAF’s mission and vision. Serve as primary point of contact for day-to-day PAF operations Conducts market research and develops program proposals, including proposed budgets, that support the financial goals of the organization. Collaborates across AAPA to ensure alignment, accountability, and successful execution of PAF initiatives. Leads and coordinates PAF’s scholarship and award programs. Develops, refines, and edits presentations, proposals, and other materials as assigned. Supports budgeting and financial forecasting and monitors expenditures related to the Foundation's programs and operations. Develops, monitors, and reports key performance indicators (KPIs) and program outcomes to evaluate organizational impact and support strategic decision making. Contributes to the development and refinement of the Foundation's strategic plan and goals in direct collaboration with the Executive Director. Marketing | Communications Develops and directs the implementation of the PAF's communication and marketing plans in partnership with the appropriate AAPA teams. Develops, creates and edits content for newsletters, press releases, website, email and social media announcements. Serves as PAF liaison to AAPA's communications, marketing and external creative services teams/vendors in developing materials associated with PAF initiatives. Ensures timely updates of PAF website with support from the web team. Partners with development on donor communication activities. Stays current with marketing, communication, and social media trends. Board of Trustee Relations Serves as primary staff contact for day-to-day governance administration of the PAF Board of Trustees, including board, committee, and other meetings as assigned. Works closely with the Executive Director to manage operations of the PAF Board of Trustees and volunteers. Prepares agenda and other meeting materials in collaboration with the Executive Director. Prepares and presents regular reports and presentations to the PAF Board of Trustees. Provides day-to-day operational coverage during the Executive Director’s absence within delegated authority, as requested. Other Responsibilities May supervise employees and coordinate volunteers as assigned. Stays current with trends and issues in the non-profit and foundation sectors and conducts research as needed to support decision-making. Serves as PAF staff advisor for board, committee, and volunteer meetings. Performs other duties, as assigned. Qualifications | Requirements: Bachelor's degree or an equivalent combination of education and relevant experience required; an MPH, MA or MBA is preferred. 6–8 years of progressively responsible experience leading strategic programs, fundraising initiatives, scholarship programs, or other healthcare-related projects. Experience with individual and corporate donor management and stewardship preferred. Experience working in a non-profit or member-driven organization is preferred. Ability to interact professionally with individuals at all levels of an organization and with stakeholders, including constituents, donors and board members is required. Demonstrated critical-thinking, problem-solving and analytical skills are required. Ability to travel to key events and meetings is required. Excellent written and oral communication skills required. Proficiency in Microsoft Office Suite applications, including Word, Excel, PowerPoint, Teams, and SharePoint; experience with Salesforce, Google Drive, and other CRMs platforms is preferred. Experience in managing multiple projects and priorities with competing deadlines is required. Strong attention to detail required. Ability to be highly productive in a remote environment required. Ability to handle confidential or sensitive information with utmost discretion is required.
