Position Summary:

Build the operating engine behind products that make healthcare data work harder. HHIT is looking for a Director of Product Operations who can turn strategy into momentum across our product portfolio. You will design and lead the governance, processes, metrics, release disciplines, and cross-functional programs that move ideas from discovery to launch, and from launch to lasting adoption, with clarity, consistency, and accountability. You will also lead product distribution and enablement, making it easier for employees, customers, and partners to understand, demonstrate, implement, support, and confidently use our solutions. By transforming complex capabilities into scalable training, documentation, communications, and adoption resources, you will create more space for Product Management to focus on strategy, discovery, customer engagement, and roadmap execution. This highly visible role connects teams across HHIT and will evolve alongside our products, customers, regulations, technology, and priorities.

This position is an in-office or hybrid role (three days in-office, two days remote) if local to South Bend.

Primary Responsibilities:

Product Operations & Governance

  • Design the playbook: Define and execute the Product Operations strategy, operating model, standards, and governance practices that translate company and product priorities into coordinated action.
  • Create clarity from idea to impact: Establish lifecycle and stage-gate frameworks that make decision rights, deliverables, dependencies, approvals, and accountability unmistakable from discovery through post-launch adoption.
  • Set the operating rhythm: Lead annual and periodic roadmap planning, portfolio cadences, operational-readiness reviews, Product team onboarding, and process education.
  • Make priorities visible: Partner with Product leadership to strengthen prioritization, capacity insight, portfolio transparency, and consistent execution across teams.
  • Vendor engagement and management: Lead and manage third-party vendor relationships for Product Management as it pertains to software tooling enablement and EHR partnerships.

Release Management

  • Orchestrate the release runway: Establish enterprise release-management standards and maintain one integrated release schedule.
  • Make readiness measurable: Define and monitor criteria, risks, dependencies, communications, training, documentation, support preparation, and customer-impact plans.
  • Guide confident decisions: Facilitate readiness reviews and go/no-go decisions, drive gap closure, and deliver timely, audience-appropriate release information.
  • Lead change without disruption: Coordinate end-user platform, application, feature, data, and customer migrations or transitions with accountable delivery teams.

Productization & Launch Program Management

  • Turn capability into a compelling offering: Lead cross-functional productization programs that create repeatable, market-ready solutions with clear packaging, operational support, implementation readiness, and adoption plans.
  • Keep launches moving: Build and manage launch plans, readiness scorecards, milestones, decision logs, risks, dependencies, and executive status reporting.
  • Prepare the whole organization to win: Ensure every affected function is ready to sell, market, contract, implement, support, operate, and measure new products, modules, enhancements, and releases alongside Product Managers and Product Marketing.
  • Connect commercial and operational details: Coordinate packaging, pricing tools, discovery forms, contracts, and customer migration requirements with Product Management and business partners.

Product Enablement, Training & Adoption

  • Make expertise scalable: Set the product enablement strategy and create role-based curriculums, learning paths, certifications, skills assessments, demonstrations, and readiness programs for employees, customers, and partners.
  • Equip every audience: Develop and maintain launch kits, training materials, product presentations, internal communications, product playbooks, and department-specific readiness resources with Product Management, Product Marketing, Development, and enablement teams.
  • Accelerate confident adoption: Partner with Customer Success, Support, Implementation, Sales, and Marketing to improve onboarding, product proficiency, usage, message consistency, and self-service while reducing avoidable support demand.
  • Prove what works: Connect enablement activity to proficiency, feature usage, launch outcomes, customer experience, and support trends through meaningful learning and adoption measures.

Knowledge, Documentation & Digital Content

  • Create one trusted source of product truth: Own governance for centralized knowledge repositories, internal and customer-facing knowledge bases, training assets, product documentation, and playbooks.
  • Keep content useful and current: Establish standards, templates, ownership, review cadences, version control, archival practices, and quality controls that make information accurate, discoverable, and consistent.
  • Translate complexity into clarity: Oversee release notes, product and feature overviews, user and administrator guidance, training modules, technical specifications, and launch communications.
  • Reimagine how people learn: Lead the product video and digital-learning strategy, standards, product walkthroughs, AI-assisted content, and on-demand learning libraries.

Metrics, Reporting & Continuous Improvement

  • Turn performance into a clear story: Own Product organization KPIs and executive reporting across roadmap delivery, release performance, feature adoption, product health, development throughput, customer feedback, readiness, and enablement effectiveness.
  • Move insight into action: Lead recurring operational reviews that reveal trends, surface risks, clarify decisions, and drive accountable follow-through.
  • Remove friction: Identify bottlenecks and administrative burden, standardize best practices, and pursue responsible automation through enterprise software and approved tools.
  • Build a better system every cycle: Use data and stakeholder feedback to improve lifecycle governance, launch quality, operating efficiency, and organizational throughput.

Leadership & Collaboration

  • Be the connector: Serve as a trusted operating partner to Product leadership and link Product, Engineering, Implementation, Support, Operations, IT, Sales, Marketing, Customer Success, and other stakeholders.
  • Create alignment without relying on authority: Resolve cross-functional ambiguity, establish ownership, and communicate decisions, risks, and tradeoffs effectively from working teams to executives.
  • Build capability that grows with us: Develop scalable Product Operations and Enablement functions, manage and coach team members, and help shape future roles as product and organizational needs evolve.
  • Champion momentum with discipline: Lead change with transparency, continuous improvement, customer focus, and measurable outcomes.
