We are seeking an experienced and highly organised Document Controller to support the successful delivery of large-scale projects. The ideal candidate will have extensive experience managing project documentation across multiple document management systems and workspaces, ensuring accurate control, distribution, retrieval, and archiving of project information.
Working within a fast-paced project environment, you will collaborate with multidisciplinary teams, clients, suppliers, subcontractors, and project stakeholders to maintain document integrity and ensure compliance with company and client standards.
You will play a key role in supporting project governance, communication, and quality assurance processes through effective document control practices.
Key Responsibilities
- Manage the full document lifecycle, including creation, review, approval, distribution, revision control, and archiving of project documentation.
- Maintain accurate and up-to-date records within multiple document management systems and client workspaces.
- Ensure all project documents comply with internal procedures, client requirements, and quality standards.
- Coordinate document submissions between project teams, clients, consultants, contractors, and external stakeholders.
- Monitor document workflows and approval processes to ensure timely responses and compliance with project deadlines.
- Generate and maintain document registers, transmittals, trackers, and status reports.
- Support project teams with document management training and guidance.
- Carry out regular audits to ensure document control processes are being followed.
- Manage confidential and sensitive information in accordance with company policies and data protection requirements.
- Liaise with diverse project teams across multiple disciplines, locations, and organisations to ensure effective information management.
- Support project mobilisation and close-out activities, ensuring documentation is complete and accurately archived.
Essential Experience & Skills
- Significant experience working as a Document Controller within construction, engineering, infrastructure, rail, transportation, or other large project environments.
- Proven experience managing documentation across multiple document management platforms and client workspaces.
- Strong knowledge of document control procedures, quality management systems, and project governance.
- Experience supporting large-scale, multi-disciplinary projects with numerous stakeholders.
- Proficiency in industry-standard platforms such as Aconex, Asite, Viewpoint, BIM 360, SharePoint, ProjectWise, EDMS, or similar systems.
- Excellent organisational skills with exceptional attention to detail.
- Ability to prioritise workload and manage competing deadlines in a fast-paced environment.
- Strong communication and stakeholder management skills.
- Proficiency in Microsoft Office Suite, particularly Word, Excel and SharePoint.
- Ability to work independently whilst building effective working relationships across diverse teams.
Desirable
- Experience within rail, infrastructure, transportation, major construction, or engineering projects.
- Understanding of BIM document management principles.
- Experience working within collaborative environments involving multiple contractors and client organisations.
