The Administrative Assistant, TV Music provides executive, administrative, publishing, financial, and production support to the Senior Vice President of Music and across assigned projects. Reporting to the Senior Vice President, this role partners closely with the Director of Music, Music Business and Legal Affairs, Production Finance, and external music partners. The Assistant supports the Senior Vice President’s day-to-day calendar, meeting coordination, expenses, and travel, as well as publishing and royalty administration, cue sheets, vendor onboarding and payments, and union documentation. The ideal candidate is highly organized, detail-oriented, discreet, and able to manage multiple priorities in a fast-paced production environment. If you are part of the fandom and believe teamwork makes the dream work, join us in #livingthedream and #doingyourdreamwork! “What would you say you do here?” Executive and Department Support Provide day-to-day administrative support to the Senior Vice President of Music, including high volume calendar management, meeting coordination, expense reporting, travel arrangements, and other administrative needs. Provide general administrative and project support to the music department as assigned. Publishing, Royalties, and Metadata Work with Director of Music to coordinate music publishing and royalty administration, including cue sheets, song registrations, metadata, ownership information, and performing rights organization requirements. Collect and review music usage information for accuracy and completeness, and prepare song and composition registrations under the direction of music leadership. Gather music information and materials needed for soundtrack releases, marketing, promotional campaigns, and awards submissions. Identify and help resolve missing or inconsistent metadata, publishing, registration, or ownership information. Music Personnel, Vendors, and Day to Day Administration Support the onboarding, contracting, and payment of composers, songwriters, musicians, vocalists, producers, studios, and other music vendors. Collect and submit vendor forms, invoices, approvals, and payment documentation. Maintain current contract, vendor, personnel, and payment trackers. Assist with documentation related to session payments, residuals, soundtrack conversion fees, and other applicable obligations. Budget and Financial Administration Support the Director of Music in tracking project-level music spending and obtain cost reports, forecasts, and supporting financial documentation. Coordinate the processing of composer, songwriter, musician, studio, vendor, and union-related invoices. Project Support Maintain project calendars, trackers, files, status reports, and deadline documentation. Work with Music Assistant to track approvals, deliverables, action items, and outstanding requirements. Schedule internal and external meetings, prepare materials, document decisions, and follow up on next steps. Communicate project updates, risks, and outstanding needs clearly and proactively while handling confidential information with discretion. “What do I need to have in order to do this job?” Bachelor’s degree or equivalent professional experience in music, entertainment, production, business administration, or a related field. 2 + years’ experience providing executive, administrative, financial, production, or project support in music, music publishing and administration Working knowledge of cue sheets, performing rights organizations, music metadata, song registration, royalties, and publishing administration. Familiarity with music-related union or guild processes, including SAG-AFTRA, IATSE, session payments, residuals, or soundtrack conversion fees. Experience tracking invoices, purchase orders, vendor setups, payments, budgets, or related financial documentation. Strong organizational, communication, project-coordination, and problem-solving skills. Exceptional attention to detail and the ability to maintain accurate records across multiple projects. Ability to work professionally with internal stakeholders, external partners, artists, representatives, and vendors. Proficiency with Microsoft Office, Google Workspace, project-management platforms, databases, and asset-management systems. Ability to adapt to changing priorities and meet competing deadlines in a fast-paced environment. “What can I offer?” Experience working in television, film, animation, streaming, music, or entertainment. Experience supporting scripted, animated, preschool, or family entertainment productions. Familiarity with soundtrack production and release workflows. Experience supporting international dubbing, localization, or vocal production. Experience collaborating with Business and Legal Affairs, Production Finance, or union and guild representatives. Familiarity with music publishing, royalty, metadata, cue sheet, or asset-management systems. Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of four days per week.
