Reporting to the Director of Dual Credit and P-20 Partnerships, the Dual Credit Specialist provides administrative and technical support for the daily operations of the Dual Credit program. The position supports accurate and timely processing of student records, registration materials, instructor documentation, and program records in accordance with institutional, state, and applicable accreditation requirements.

The Dual Credit Specialist supports student- and partner-facing administrative processes, with an emphasis on record accuracy, workflow coordination, timely communication, and effective service to students, instructors, high school partners, and internal departments.

Responsibilities

Process dual credit student registration materials, ensuring completeness, accuracy, and adherence to established procedures and deadlines.

Review and track prerequisite documentation, placement measures, and supporting academic records in coordination with Admissions and Registration & Records.

Maintain instructor credentialing files, transcripts, and related compliance documentation in accordance with institutional and applicable accreditation requirements.

Support new dual credit instructors with onboarding and orientation to Waubonsee systems, procedures, and processes.

Manage data entry and documentation tracking within Banner, shared drives, and other digital workflow systems.

Prepare and maintain spreadsheets, reports, and tracking tools related to enrollment, course rosters, instructor assignments, and program operations.

Coordinate communication with high school partners regarding missing documentation, registration status, required forms, deadlines, and other program-related information.

Review and update assigned Dual Credit web content to ensure information is accurate, current, and consistent.
Assist with state reporting preparation, data collection, and compilation as directed.

Maintain primarily digital filing systems for agreements, instructor approvals, course approvals, and other program and compliance documentation.

Provide administrative and logistical support for meetings, professional development activities, orientations, and faculty workshops.

Assist students, instructors, and high school partners with registration-related questions and troubleshoot registration issues in collaboration with Admissions, Registration & Records, and other appropriate departments.

Maintain confidentiality of student, instructor, and institutional information in accordance with FERPA, College policies, and other applicable requirements.

Support continuous improvement efforts by identifying administrative process inefficiencies and recommending potential workflow improvements.

Perform other duties and responsibilities as assigned.

Minimum Qualifications

Associate degree required; bachelor's degree preferred.

Two years of administrative support experience required, preferably in higher education, K-12 education, enrollment services, student services, or a related environment.

Experience using student information systems, data tracking tools, databases, and Microsoft Office 365 applications.

Strong attention to detail with demonstrated ability to accurately manage and maintain high-volume records and documentation.

Ability to organize and prioritize multiple responsibilities and meet deadlines in a deadline-driven environment.

Strong customer service, interpersonal, written, and verbal communication skills with the ability to work effectively with students, faculty, staff, and external partners.

Ability to maintain confidentiality and appropriately handle sensitive student and personnel information.

Demonstrated commitment to student-centered service and equitable access.
