About the Role
We are a growing food & beverage brand looking for a highly organised, detail-oriented Operations Coordinator to support our day-to-day operations.
This person will work closely with our Operations Lead and Founder, helping coordinate across co-packers, warehouses, logistics partners, suppliers, distributors, and other vendors. The ideal candidate is proactive, comfortable managing multiple moving pieces, and enjoys creating structure behind the scenes. This is a hands-on role that combines supply chain and operations coordination with administrative support.
Work Structure & Requirements
- Schedule: Part-time — 30–40 hours per week

- Compensation: 10 USD per hour
Key Responsibilities
- Supply Chain & Vendor Coordination
- Coordinate day-to-day communication and follow-ups with co-packers, suppliers, logistics providers, warehouses, and other operational partners
- Support production planning by coordinating ingredient, packaging, and finished-goods requirements with the Operations Lead
- Track purchase orders, production timelines, shipments, deliveries, and inventory
- Coordinate inbound and outbound freight and follow up on shipment delays or discrepancies
- Follow up with vendors and partners to ensure deadlines and deliverables stay on track
- Assist the Operations Lead with sourcing, vendor coordination, and operational projects as needed
- Inventory & Data Management
- Maintain accurate inventory records across warehouses and other storage locations
- Update operational spreadsheets and trackers
- Enter and maintain product, inventory, order, and supplier data
- Help reconcile inventory and investigate discrepancies
- Maintain organised digital folders and documentation so information is easily accessible to the team
- Administrative & Financial Support
- Prepare and send customer invoices and maintain organised invoice/payment records
- Organise purchase orders, BOLs, production documents, invoices, supplier documents, product specifications, and other operational records
- Support general administrative tasks, scheduling, document preparation, data entry, and other day-to-day business needs
Required Skills & Experience
- Operations Experience: 1–3+ years in operations, supply chain, logistics, administrative operations, or a similar role
- Industry Background: Experience in CPG, food & beverage, manufacturing, wholesale, or retail strongly preferred
- Organisation & Detail: Highly organised with strong attention to detail; comfortable managing multiple projects, vendors, and deadlines simultaneously
- Communication: Strong written and verbal communication skills; confident following up with external partners and vendors
- Excel / Google Sheets: Strong skills required; comfortable working with numbers, data, and trackers
- Systems: Comfortable learning new tools and software; experience with inventory management, purchase orders, invoicing, or logistics a plus
- Working Style: Able to work independently while collaborating closely with the team; proactive and resourceful — takes ownership without waiting to be asked
