Engagement Overview

E3n is seeking an independent contractor to support the timely, accurate, and student-centered review of applications for accommodations on the Secondary School Admission Test (SSAT). The engagement is designed to expand review capacity during peak testing periods, strengthen service to students and families, and reduce the operational burden on the SSAT accommodations lead.

The contractor will review documentation, complete routine decisions within established authority, communicate with families and other stakeholders, maintain accurate system records, and elevate complex or higher-risk matters for guidance. This is an outcome-focused engagement requiring sound judgment, empathy, attention to detail, technical comfort, and a clear understanding of professional boundaries.

Scope of Services

The contractor will be responsible for delivering work across four core areas:

1. Accommodation Application Review and Decision Support

  • Review assigned SSAT accommodation applications and supporting records, which may include IEPs, Section 504 plans, private-school documentation, psychoeducational evaluations, medical documentation, and other materials describing a student's testing needs.
  • Evaluate whether requested accommodations are supported, reasonable, and consistent with E3n's approved policies, procedures, decision frameworks, and assigned authority.
  • Request or identify the need for additional information when the available record is incomplete, unclear, or inconsistent. Complete routine reviews independently after training and calibration, while escalating novel, ambiguous, sensitive, or higher-risk matters to the designated E3n lead.
  • Apply a student-centered, facilitator-oriented approach that seeks appropriate resolution rather than treating the process as a simple approval-or-denial gate.

Key Outcome: Accurate and timely application decisions that reflect E3n standards, support equitable access, and reserve leadership attention for matters that genuinely require escalation.

2. Family, School, and Test-Center Support

  • Provide clear, respectful, and empathetic support by email, phone, and other approved channels to students' families, member schools and organizations, and test centers.
  • Explain documentation needs, process requirements, decisions, and next steps in accessible language without offering legal, clinical, or educational advice outside the engagement's scope.
  • Navigate sensitive or emotional interactions calmly, listen for the underlying concern, and work toward an appropriate resolution within E3n's established framework.
  • Recognize when a conversation has moved beyond a routine service matter and promptly involve the designated E3n lead.

Key Outcome: Families and partners receive responsive, humane, and consistent support, including when the requested outcome cannot be provided exactly as presented.

3. Systems, Records, and Operational Execution

  • Complete required application processing and multi-step data-entry tasks accurately across E3n's CRM, accommodations, testing, and related operational systems.
  • Maintain complete, timely, and audit-ready records of reviews, decisions, communications, follow-up needs, and escalations.
  • Support associated accommodations operations, such as coordinating required documentation, implementing approved testing arrangements, and completing other agreed seasonal workflows.
  • Protect confidential student, family, disability, and testing information and follow all E3n privacy, security, and records-handling requirements.
  • Flag system, process, or documentation issues that could delay service or create inconsistent outcomes.

Key Outcome: Reliable execution and clean records across complex workflows, with minimal rework and no missed accommodations caused by preventable processing errors.

4. Calibration, Escalation, and Continuous Improvement

  • Participate in initial training, shadowing, and decision-calibration activities required to learn E3n's policies, systems, service approach, and escalation pathways.
  • Seek guidance when the facts, policy application, potential impact, or appropriate response are uncertain; do not act beyond assigned authority.
  • Apply feedback consistently and demonstrate increasing independence, accuracy, and efficiency over the course of the engagement.
  • Surface recurring questions, emerging patterns, or process gaps and contribute practical recommendations that strengthen the reviewer workflow and family experience.
  • Adapt as SSAT and broader E3n assessment-accommodation practices continue to evolve, including possible future alignment with blended-assessment processes.

Key Outcome: A dependable reviewer who becomes increasingly self-sufficient while remaining appropriately collaborative, humble, and attentive to risk.

Deliverables

  • Timely review and disposition of assigned SSAT accommodation applications within agreed service levels. Complete documentation of decisions, supporting rationale, communications, and escalations in designated systems.
  • Responsive follow-up with families, schools, test centers, and internal partners for assigned matters.
  • Regular updates on workload, completed reviews, aging items, emerging risks, and matters requiring leadership attention.
  • Recommendations for recurring process, documentation, or system improvements identified through the work.

Engagement Structure

  • Reports to: Associate Director, Accommodations & Knowledge
  • Works independently with regular check-ins
  • Initial Term: Three months; extension may be considered
  • Work Arrangement: Remote; seasonal and variable-hour engagement
  • Rate Range: $25-$38 per hour, with limited flexibility for exceptional qualifications, subject to budget approval
  • The engagement may involve collaboration with Assessment Operations, Customer Support, Psychometrics, Technology, and other teams as needed.

Timing & Commitment

  • Initial contract period: approximately three months, with the possibility of extension based on performance, organizational need, and available budget.
  • Anticipated workload: variable and seasonal, reaching up to approximately 30 hours per week during peak periods.
  • Hours may decrease significantly, including potentially to zero, outside the busy season.
  • Peak demand generally occurs during the fall and winter testing cycle, particularly October through January, although actual timing and volume may vary.
  • Some evening or weekend availability may be requested when needed to meet testing-cycle demands and agreed service levels.

Success Measures

Success in this engagement will be evaluated based on:

  • Accuracy, consistency, and timeliness of application reviews and system processing.
  • Appropriate use of independent judgment and escalation pathways.
  • Quality, clarity, and empathy of communications with families and other stakeholders. Reliability in meeting agreed service levels and seasonal capacity needs.
  • Completeness and integrity of records, with minimal preventable errors or rework.
  • Demonstrated growth in independence and efficiency following training and calibration.
  • Meaningful reduction in the accommodations lead's routine review and administrative burden.
  • Constructive contribution to a student-centered, collaborative, and continuously improving accommodations program.
