Job title: EHR Data Quality Specialist Type of employment: Part time (potential full time) Shift Schedule: 9AM-1PM EST (PT) 9AM-5PM EST (FT) High-level summary Support the company by maintaining accurate client data within the Electronic Health Record system and ensuring information is complete, organized, and compliant with internal quality standards. This role is ideal for someone with healthcare experience, strong EHR database management skills, excellent attention to detail, and a quality assurance mindset. The person in this role will help ensure client records are entered correctly, data quality is monitored consistently, reports are generated accurately, and staff have access to reliable information. Objective of this role: Enter, update, and maintain client data accurately within the Electronic Health Record system. Conduct quality assurance reviews to ensure records are complete, consistent, and properly documented. Support EHR data management by keeping client files organized, current, and easy to access. Collaborate with staff to correct data issues, clarify missing information, and improve documentation quality. Generate reports and monitor data quality to support internal operations and compliance needs. Responsibilities : Client data entry and maintenance Enter new client information accurately into the Electronic Health Record system. Update existing client records as information changes. Maintain complete, organized, and accurate client profiles, records, and documentation. Review entries for spelling, formatting, missing details, duplicate information, and inconsistencies. Quality assurance reviews Conduct regular quality checks on client records and EHR data. Identify incomplete, inaccurate, outdated, or inconsistent information. Flag documentation gaps and coordinate corrections with the appropriate staff. Ensure records meet internal quality and documentation standards. EHR data management Manage data within the Electronic Health Record system with accuracy and consistency. Organize records in accordance with company workflows and healthcare documentation requirements. Monitor data quality and support clean database maintenance. Help ensure information is easy to locate, review, and use for operational needs. Staff collaboration Work with internal staff to clarify missing or incorrect client information. Communicate professionally regarding record updates, documentation needs, and data quality concerns. Support staff by providing accurate client data and reports when needed. Follow up on outstanding data corrections or missing documentation. Reporting and data monitoring Generate reports from the EHR system as needed. Monitor data trends, errors, missing fields, and recurring documentation issues. Support internal reporting needs by ensuring information is complete and accurate. Maintain organized tracking for quality assurance findings and follow-up actions. Confidentiality and compliance Handle sensitive client and healthcare information with confidentiality and professionalism. Follow company policies and healthcare data privacy standards. Maintain secure and accurate documentation practices at all times. Required skills and qualifications: Experience with Electronic Health Record (EHR) systems. Proficiency with database management within an EHR environment. Basic healthcare knowledge and understanding of client documentation workflows. Prior experience in healthcare data entry, quality assurance, documentation review, or related healthcare administrative work. Strong attention to detail and ability to identify errors, missing information, and inconsistencies. Strong organization and time management skills. Ability to manage repetitive, detail-heavy tasks with accuracy. Strong written communication skills for documenting updates, issues, and follow-ups. Ability to work independently while coordinating with internal staff as needed. Strong commitment to confidentiality when handling sensitive client and healthcare information. Preferred skills and qualifications: Experience conducting quality assurance reviews in a healthcare, behavioral health, home care, or clinical support setting. Experience supporting audits, data cleanup, or documentation improvement projects. Strong spreadsheet skills for tracking QA findings, reports, or data quality updates. Prior experience working in a healthcare service organization with client records and staff coordination.
