Role Overview

At Job Duck, we are looking for a compassionate, professional, and highly organized Intake Specialist to serve as the first point of contact for prospective and existing clients of a growing elder law and estate planning practice. In this role, you will play a critical part in creating a positive client experience by handling inbound calls, scheduling consultations, coordinating client appointments, and supporting important legal processes. The ideal candidate is personable, patient, and service-oriented, with the ability to build trust and rapport, particularly with older adults and their families. Success in this position requires strong communication skills, attention to detail, and the ability to recognize client needs while helping guide potential clients through the intake process. Schedule:

Monday to Friday 9:00 AM - 6:00 PM [EST][EDT] (United States of America)

Your Responsibilities Will Include but Are Not Limited To:

• Delivering an exceptional client experience through professional and compassionate communication
• Managing and updating the firm's calendar through MyCase
• Scheduling consultations, signings, and closing appointments for attorneys
• Maintaining accurate records of client interactions and appointments
• Following up with prospective clients to schedule consultations
• Identifying potential clients based on intake conversations and legal needs
• Conducting follow-up calls regarding signings and closings
• Taking accurate and detailed messages
• Answering inbound calls from prospective and existing clients
• Transferring calls to the appropriate team members
• Sharing relevant information, resources, and links with prospects and clients
• Contacting existing clients to coordinate and schedule signings
• Scheduling closing appointments

What We’re Looking For:

• 2-3 years of experience with Legal intake
• Familiarity with estate planning and elder law terminology including Wills, Trusts, Powers of Attorney, Asset Protection, Probate, Medicaid, Long Term Care, and Health Care Proxies, is preferred.
• Appointment scheduling experience
• Client relationship management experience
• Sales or consultation conversion experience
• Ability to handle confidential information professionally
• Comfort communicating with older adults and their families
• Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
• Quiet, distraction-free remote work environment
