Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus, Edmonton. The Entrepreneurship Program Admin provides hands-on operational and creative support that keeps the Engineering Incubator running day-to-day. This role runs the incubator’s physical space, events logistics, and internal communications infrastructure. It combines content creation and storytelling, producing founder and program stories, managing social media, and executing marketing campaigns, with facilities oversight, space coordination, and administrative functions. The position serves as the operational backbone of the team, ensuring internal stakeholders, co-op placements, and university partners are well-supported, while enabling the Program Coordinator and Operations Lead to focus on external relationships, program design, and strategy. This is a hands-on, execution-focused role suited to someone who thrives on variety and takes pride in keeping a high-energy environment organized and running smoothly. Storytelling, Marketing & Communications Plan, produce, and distribute founder, mentor, and program stories across written, visual, and video formats. Conduct interviews with founders and mentors to capture narratives that reflect the incubator's impact and community. Manage the incubator's social media presence across Instagram, YouTube, and LinkedIn, including content scheduling, engagement, and performance tracking. Write and design newsletters, announcements, and marketing copy for internal and external audiences. Photograph and film incubator events and milestones; edit and produce final assets for publication. Maintain accurate CRM data entry for incubator contacts, events, and communications as directed by the Operations Lead, ensuring records are current and consistently formatted. Provide administrative support for mentor onboarding logistics, including scheduling, document preparation, and space setup, as directed by the Operations Lead. Collaborate with the Engineering, communication, and marketing teams for all outgoing materials. Internal Stakeholder Relations Participate in regular roundtables, standups, and check-ins with incubator staff, university partners, and program stakeholders. Coordinate administrative logistics for co-op student placements, including scheduling, onboarding paperwork, workspace setup, and day-to-day onsite support, under the direction of the Operations Lead who holds supervisory responsibility. Support cross-unit coordination with internal innovation centres (eHub, SIC, HIH, and others) on shared event logistics, joint communications, and scheduling as directed by the Operations Lead. Program Support Execute operational logistics for Explorer Program sessions, including digital setup, room preparation, materials distribution, and on-site facilitation support, working from schedules and plans developed by the Program Coordinator. Provide administrative support to the Innovator Program, including maintaining documentation templates, distributing cohort communications prepared by the Program Coordinator, and tracking submission of deliverables. Provide hands-on creative support to founders, including graphic design for pitch materials, website content updates, and visual asset production; does not include strategic marketing or business direction. Collect and compile program participation data, attendance records, and feedback forms using standardized tools, and provide organized outputs to the Operations Lead and Program Coordinator for reporting and analysis. Space Management Oversee day-to-day management of the incubator's physical space, ensuring it remains functional, stocked, and presentable. Manage inventory for kitchenette and office supplies, coordinating restocking as needed. Coordinate space bookings and ensure rooms are set up appropriately for each use. Lead guest onboarding and screening, ensuring visitors are properly oriented and access protocols are followed. Provide first-line IT support, escalating technical issues to university IT services as needed. Plan and execute incubator events end-to-end, including logistics, setup, on-site management, and post-event wrap-up. Diploma or Bachelor's degree in Communications, Marketing, Business, or a related field; equivalent hands-on experience will be considered. Demonstrated experience in content creation, including copywriting, social media management, and basic graphic or marketing design. Proficiency with video editing and photography, with a portfolio of relevant work being an asset. Experience with CRM tools and comfort managing contact databases and outreach tracking. Strong organizational skills with the ability to manage logistics, inventory, and scheduling across multiple concurrent responsibilities. Comfortable working in a fast-paced, startup-adjacent environment with a high degree of task variety. Familiarity with web development or website management tools (e.g. Webflow, WordPress, Squarespace) is an asset. Experience in or exposure to entrepreneurship, startup ecosystems, or innovation programming is an asset.
