Position Summary
The Equipment / Tool Coordinator is responsible for the daily inventory control, issuance, tracking, recovery, and service readiness of National Fiber Team (NFT) tools, fiber splicing equipment, testing instruments, and other assigned field equipment.
Reporting to the Logistics Manager, this position maintains accurate records in AssetTiger or the approved asset-management system, coordinates equipment movement between projects and technicians, and supports timely repair, calibration, and replacement of equipment. The role executes approved logistics processes and escalates shortages, damage, loss, and expenditure decisions to the appropriate manager.
The Coordinator works with site Logistics Coordinators, Operations, Project Management, Procurement, field leadership, and the Fleet Manager. Vehicle assignments, driver administration, vehicle maintenance, registrations, fuel and toll programs, and fleet budgeting remain outside this position's primary scope.

Primary Responsibilities
1. Equipment & Tool Inventory Control
• Maintain a current inventory of NFT-owned, leased, and rented tools and equipment, including splicers, cleavers, hot strippers, OTDRs, OLTS sets, inspection scopes, specialty tools, and associated kits.
• Enter new equipment in AssetTiger or the approved system; record asset tag, manufacturer, model, serial number, ownership, project, location, custodian, condition, and status.
• Maintain kit-level component lists, accessories, cases, chargers, batteries, and consumables where applicable.
• Perform scheduled physical counts with site Logistics Coordinators; reconcile discrepancies and correct records with supporting documentation.
• Maintain equipment photos, purchase and warranty information, service history, and calibration certificates as applicable.
2. Equipment Issuance, Transfers & Returns
• Prepare and document technician and crew equipment checkouts, acknowledgments, and returns.
• Verify each kit's condition and contents at issue and return; document missing components, damage, and exceptions with photos when appropriate.
• Track equipment custody, project assignment, shipment, receipt, and inter-site transfers; obtain confirmation from the receiving party.
• Coordinate recovery of assigned equipment during rotations, reassignment, demobilization, and employee separation.
• Escalate overdue returns, unreported damage, missing equipment, and unresolved inventory discrepancies to the Logistics Manager and relevant field leadership.
3. Maintenance, Repair & Calibration Coordination
• Track service and calibration due dates for applicable splicing, testing, and inspection equipment.
• Identify defective, unsafe, incomplete, or out-of-calibration equipment and place it on hold pending approved disposition.
• Coordinate vendor troubleshooting, repair estimates, shipment, calibration, return shipping, and return-to-service documentation under approved procedures.
• Keep equipment kits together when practical and document serial numbers, reported symptoms, accessories shipped, and repair status.
• Update the asset system after repairs, calibration, replacements, and component changes; communicate equipment availability to Operations.
4. Project Equipment Deployment & Recovery
• Receive approved equipment requirements and deployment priorities from Operations and the Logistics Manager.
• Prepare equipment allocation, packing, shipping, and receiving documentation for project mobilizations and technician deployments.
• Verify equipment is complete, serviceable, calibrated when required, and assigned to the correct project or employee before release.
• Coordinate delivery, pickup, receipt confirmation, and return with site Logistics Coordinators and field leaders.
• Reconcile and recover equipment during project demobilization; identify shortages and available equipment for reassignment.
5. Rental Equipment & Vendor Support
• Track rented equipment, responsible projects, rental periods, extensions, and scheduled return dates.
• Coordinate approved rental pickup, delivery, exchanges, extensions, and returns; document condition and included accessories.
• Flag idle or unneeded rental equipment for timely return and alert the Logistics Manager to upcoming charges or extensions.
• Maintain vendor repair, shipping, rental, and calibration documentation and provide invoice-support records to Procurement or Finance.
6. Accountability, Safety & Equipment Protection
• Follow and communicate approved equipment checkout, storage, handling, and return procedures.
• Maintain documented custody and secure storage for high-value tools and test instruments.
• Record and promptly escalate loss, theft, damage, suspected misuse, or unreturned equipment; preserve supporting records for management review.
• Coordinate with Safety and field leadership to keep unsafe or unserviceable equipment out of circulation.
• Support investigations and corrective-action documentation as requested; disciplinary and cost-recovery decisions remain with authorized management and Human Resources.
7. Reporting & Process Improvement
• Provide routine equipment inventory, location, custody, readiness, repair, calibration, rental, and overdue-return reports.
• Maintain open-item logs for missing assets, unresolved transfers, equipment shortages, and repair status; follow up through closure.
• Identify recurring equipment failures, incomplete kits, process gaps, and opportunities to improve asset utilization.
• Support development and consistent use of SOPs, equipment checklists, sign-out forms, shipping records, and asset-tracking workflows.
• Coordinate with the Fleet Manager when equipment movement requires a company vehicle or other fleet support; do not assume fleet-management authority.
Leadership Expectations
• Maintain accurate, timely equipment records and follow through on assigned requests.
• Communicate shortages, damaged equipment, and schedule risks early to the Logistics Manager and affected project teams.
• Support technicians and site leadership with responsive service while maintaining documented custody and consistent controls.
• Exercise sound judgment, professionalism, confidentiality, and attention to detail; seek approval for exceptions outside delegated authority.
Key Performance Indicators (KPIs)
• Inventory and equipment-assignment record accuracy; physical-count reconciliation completion.
• On-time equipment fulfillment and documented receipt for approved deployment requests.
• Equipment checkout/return completeness and timely recovery of overdue assets.
• Calibration compliance and repair turnaround tracking for applicable equipment.
• Reduction in missing kit components, unaccounted-for equipment, and avoidable rental overrun.
• Timely reporting and resolution of equipment discrepancies and shortages.
Decision-Making Authority
• Issue, receive, track, and transfer tools and equipment within approved assignments and documented procedures.
• Request required checkout, transfer, receipt, inspection, and return documentation.
• Place damaged, unsafe, incomplete, or out-of-calibration equipment on hold and notify the appropriate manager.
• Coordinate routine shipping, service, calibration, and approved rental returns within established purchasing and authorization limits.
• Recommend repair, replacement, purchases, reallocations, or asset disposal to the Logistics Manager; obtain required approvals before committing funds or disposing of property.
• Escalate unresolved custody, loss, damage, shortage, and policy issues to management; no independent disciplinary or fleet-management authority.
Core Competencies
• Equipment and tool inventory management; asset tagging and chain-of-custody documentation.
• AssetTiger or comparable asset-tracking systems; Microsoft Excel and Microsoft 365.
• Fiber splicing and test-equipment familiarity, kit-component verification, and calibration tracking.
• Equipment packing, shipping, receiving, storage, and inter-project coordination.
• Vendor follow-up, documentation accuracy, prioritization, problem solving, and clear communication.
Preferred Qualifications
• Experience in tool-room, equipment coordination, inventory control, warehouse, or field logistics support.
• Experience supporting fiber-optic, telecommunications, construction, data-center, or similar field operations.
• Familiarity with fusion splicers, fiber test equipment, inspection tools, and associated accessories preferred.
• Experience with AssetTiger or a comparable inventory or asset-management platform.
• Ability to reconcile physical inventory, maintain detailed electronic records, and coordinate shipments across multiple sites.
• Working knowledge of equipment repair, calibration, rental tracking, and vendor coordination.
• Valid driver's license and ability to travel to project sites as required.
