THE OPPORTUNITY
Calling all logistics obsessives and client-experience builders. We are looking for a hands-on, detail-driven, and proactive Event Operations Manager to own end-to-end logistics for our client-facing events and travel program from the ground up, supporting 100+ events per year. This is a founding operations role where you will own every piece of getting the team where they need to be, prepared, and ready to represent Cosign in front of clients and partners.
As the first dedicated hire in this seat, you will own the entire stack: travel booking, event calendaring, agenda communication, client dinners and activities, booth installation and supervision, partner billing coordination, and ad-hoc gifting. You will work directly with Sales Operations and leadership to turn client-facing events into a well-oiled, high-touch operation, with every event tied to a seamless client experience.
This role is ideal for someone who thrives in a startup environment, has run high-volume event and travel logistics before, is comfortable owning vendor and partner relationships end-to-end, and is excited to own this function in a fast-moving, early-stage context.
KEY RESPONSIBILITIES
• Own the events and travel logistics engine across the business: booking flights, hotels, and rental cars for team members attending 100+ events per year, well ahead of each event date.
• Maintain a rolling calendar of all events, tracking booking deadlines, confirmations, and any changes, and sending the team a clear pre-event agenda ahead of every event.
• Coordinate directly with the Sales Operations team to align event logistics with account and pipeline priorities.
• Serve as the point person for all client-related activities - every client touchpoint at an event runs through this role.
• Plan and facilitate company events, activities and dinners end-to-end, including setting up invites via Luma/Partiful.
• Evaluate restaurant options and activity ideas for client dinners and outings, balancing quality, location, and budget.
• Correspond with partner companies on billing and logistics for co-hosted or co-sponsored events.
• Own ad-hoc client and team gifting end-to-end - sourcing, ordering, and ensuring timely delivery.
• A function that flexes with the business: stepping into adjacent client-experience and ad hoc projects as needed in an early-stage, fast-moving environment.
• Maintain a detailed, structured expenditure ledger to ensure seamless financial reconciliation with the accounting team.
ABOUT YOU
As a highly organized and detail-driven Event Operations Manager, you take full ownership of events, travel, and accommodations, from initial booking through final send-off, without needing direction. You are deeply committed to getting every detail right, remain structured under pressure, and never let a booking deadline or client touchpoint slip.
You thrive in early-stage landscapes where processes are still evolving. Instead of seeing gaps as obstacles, you view them as chances to build better systems, bring fresh ideas, and find energy in constructing something new rather than simply working inside it.
You are a logistics and client-experience wizard, comfortable running multiple bookings and events at once, owning vendor and partner relationships, and making sure every client interaction feels seamless and well thought out.
PREFERRED EXPERIENCE
We are looking for a passionate, experienced operator who is excited about building a client-events function that has never been built before.
• 3+ years of experience in event planning, travel coordination, executive support, or client experience roles; startup, proptech, fintech, or insurtech experience is a plus but not necessary
• Proven ability to manage multiple concurrent bookings and deadlines without dropping details
• Comfortable owning vendor and partner relationships, including billing and invoicing conversations
• Strong written communication - comfortable sending clear, well-organized agendas and updates to a team
• Experience with event platforms like Luma or Partiful, or similar tools, is a plus
• Highly organized, detail-oriented, and calm under pressure when plans change last minute
• Willingness to travel frequently, including internationally, to support on-site events
• Must have current authorization to travel to the United States (e.g., a valid U.S. visitor visa or visa-free entry eligibility), and be able to maintain that authorization, as regular U.S. travel is a core requirement of this role
