Through its Faculties and Institutes, The Royal College of Physicians of Ireland, offers medical training programmes, examinations, diplomas and educational courses to equip doctors with the skills and knowledge they need to care for patients and run safe and efficient healthcare systems. It also offers a range of educational diplomas and courses for learners in the wider healthcare sector. The Royal College of Physicians of Ireland (RCPI) is seeking to appoint an Events Coordinator to join our Events Team to deliver our popular conferences and webinars for our doctors and other healthcare professionals. This is an exciting opportunity to work with us to deliver a blend of online, hybrid and in person events, including conferring's, at our historic home on No 6 Kildare Street. The successful candidate will work closely with the Deans of our Faculties and Institutes and external stakeholders to support the delivery of their events and to work within our existing and new events platforms. This is an exciting opportunity for the right candidate. This is a permanent role. Job Description Role: Events Coordinator Reporting to: Events Manager Contract: Permanent Salary: €35,000 Closing date: 12 August 2026 at 16:00 Post Summary Reporting to the Events Manager, the Events Coordinator will be responsible for the following (but not limited to): • Work within a busy team to support the development and delivery of events including webinars, conferences and conferrings • Use online systems, including cloud-based platforms such as Teams, Quercus and Cvent, to set up educational events and manage bookings via rcpi.ie • Develop and maintain effective relationships with key stakeholders, including Deans, faculty members, clinicians, speakers, sponsors and internal teams, ensuring clear communication and alignment throughout the event lifecycle • Liaise with Deans of Faculties and Institutes, and other clinicians, to agree timelines, participants and speakers for events tailored to their audiences • Set up of No. 6 Kildare Street for events and conferrings, where applicable • Manage event registration and check-in processes • Coordinate third-party suppliers (e.g. catering, AV) • Support the tracking and administration of event budgets • Prepare and circulate post-event evaluation reports and contribute to quarterly reporting • Support ongoing evaluation and continuous improvement of events, including cost considerations • Liaise with and manage communication with speakers, providing support during live events • Review and edit video recordings for virtual events and conferrings. Requirements • The successful applicant will have experience in an events, education coordination or similar role, including: • 2–3 years’ experience working within a team delivering successful events • Experience supporting the coordination and delivery of in-person, virtual and hybrid events • Experience working with multiple stakeholders, including senior professionals, external suppliers and internal teams • Experience using event management systems and digital platforms (e.g. Cvent, Teams or similar tools) • Experience managing event logistics such as registrations, venue set-up, supplier coordination and on-site support • Experience supporting budget tracking and administrative processes • Experience preparing post-event reports, evaluations or data summaries Competencies: Communication and Interpersonal Skills - Ability to communicate clearly and professionally with a wide range of stakeholders including faculty, clinicians, speakers, suppliers and internal teams. Attention to Detail - High level of accuracy in managing event logistics, data, communications and documentation. Stakeholder Management - Ability to build and maintain effective working relationships, ensuring stakeholder needs are understood and delivered on. Event Coordination and Organisation - Strong organisational skills with the ability to manage multiple events and competing priorities in a fast-paced environment. IT and Digital Systems - Proficient in using event management and digital platforms (e.g. Cvent, Teams, Quercus) to deliver in-person, virtual and hybrid events. Problem Solving and Initiative - Ability to identify issues quickly and implement practical solutions, particularly in live event environments. Why us?
